Responsibilities and tasks:
Handles all incoming/outgoing phone operations
Connects the interlocutors to the department in charge
Takes messages and transmits the information and Identifies private calls for billing
Stores and processes the information with precision and confidentiality
Updates the telephone list of main and sub-delegations on a regular basis
Handles the reception of visitors by welcoming and orienting them to the appropriate ICRC employee
Adapts his/her behaviour according to different interlocutors
Keeps record of daily visitors at the delegation
Supports other department
Receives incoming/outgoing mail
Hands over and receives Express Mail Vouchers and Invoices
Attributes newspapers every morning to concerned departments
Coordinates with security guards on: Access of visitors, mail delivery, follow up all related tasks after working hours and weekends.
Supports the secretary
Maintains the stationery stock on the management floor.
Replaces the secretary in her absence (Organisation of pouches, …)
Minimum required knowledge & experience:
High school level
2 - 3 years work experience in similar function
Good knowledge of spoken English
Basic computer skills
Good communication skills
