Responsibilities and Tasks :
Organizes all travel related documents for DAM support team and BEY delegation
Maintains contact with services providers mainly hotels and taxi companies
Ensures proper logistical support for all the movements
Ensures the necessary administrative related work
Ensures good customer service for concerned files
Keeps updated lists about the DAM support personnel in the country, their whereabouts and residence location within the country
Accommodation in hotels or attribution of housing facilities to newly arriving expatriates and to DAM support personnel in cooperation with premises department
Accommodation in hotels for internal missions within the country
Responsible for the completeness of the Welcome file and its content
Keeps filing related to handled cases
Sends e-welcome file to new arrivals
Collects filled out forms and copies all necessary documents of the expatriated personnel (Flight ticket, Passports etc.).
Takes salary advance for Welcome file and collects the signed salary sheets.
Explains the functioning of the delegation and does the presenting to the staff and the "tour de delegation" for DAM support team
Knows how to arrange the travel & missions for personnel according to ICRC's travel policy
Arranges hotel booking
Arranges coffee breaks for meetings
Minimum required knowledge & experience
High school or professional diploma
3 - 5 years work experience in a similar field
Good knowledge of written and spoken English
Good computer skills
Excellent organisational and methodical skills
Good communication skills
