Logistics & Procurement Officer With The Danish Red Cross - Drc

  Organizational context (where the job is located in the Organization) The MENA zone work of the Danish Red Cross (DRC) is implemented through and in close cooperation with the Red Cross and Red Crescent Movement partners in the region.   Job purpose The Officer will provide logistics, procurement (mainly international), and administrative support to the Danish Red Cross Regional Office in Beirut. The Officer will be responsible for the day-to-day support functions for the regional office and support DRC Regional programmes, including logistics, procurement, and administrative support for DRC response programs. The officer will be responsible for ensuring that DRC and partner national societies adhere to established procurement regulations, and ensure the efficient and effective delivery of logistics, procurement, and Admin services.   Job duties and responsibilities Logistics & Procurement:  Working closely with DRC Regional team and staff from partner national societies, the Officer will: Support and maintain a well-functioning DRC logistics and procurement  operations Support & follow-up procurement processes with (international and local) suppliers and with the respective DRC country teams and DRC Headquarters; and document the procurements accordingly; Support enforcing DRC & donor’s procurement procedures Support enforcing timely transport of relief goods to the respective countries together with the respective HNS in coordination with the Regional Finance Senior Officer and the program delegates and the respective teams in HQ. Support the local procurement processes for the DRC operations in strong coordination with the program delegates in Afghanistan, Iraq, Jordan, Lebanon, Palestine, Syria, Tunisia and Yemen Ensure that DRC vehicles are in good conditions. Maintain records of all outstanding purchase orders with external vendors and arrange transportation and forwarding services for all orders to ensure delivery on schedule Prepare reports on personnel and material movement and ensure that reporting requirements are fulfilled in an accurate and timely manner Ensure compliance with DRC and Red Cross Movement logistics standards and regulations Support other regional logistics needs as necessary   Administrative: The Officer will be responsible for the day-to-day administrative support functions for the DRC Regional Team. Responsibilities include: Support maintaining a project related information management filing system for contracts (rental and HR), movement of goods between suppliers and HNS warehouse, supporting documents for transportation of goods, agreements between DRC and partners and reports Provide day-to-day support to regional DRC staff, including telephones, internet service and office equipment and identify future needs Prepare and file documents for signature and/or action, as necessary and ensure that that proper filing systems are in place for the office Support the planning and organization of meetings and workshops Travels to the respective countries as required Complete other administrative tasks, as necessary and as requested by the line manager Liaise with the IFRC and partner national societies to acquire visas and other permits for DRC staff and visitors Duties applicable to all staff 1. Work towards the achievement of DRC goals in all operations through effective managerial relations and teamwork 2. Ensure understanding of roles, responsibilities, lateral relationships and accountability 3. Perform other work related duties and responsibilities that may be assigned by the supervisor Position Requirements Education   Required Preferred University Degree in Business Administration or Logistics relevant major X   Experience Required  Preferred 3-5 years of relevant professional experience in administration or logistics X   Experience in dealing with suppliers and procurement X   Full driving license and willingness to drive independently X   Experience in humanitarian operation   X Experience in RC/RC movement   X Knowledge and Skills Required  Preferred Strong communication skills X   Strong sense of ownership and able to see through the completion of task assigned X   Teamwork: Commitment to the International Red Cross & Red Crescent Movement; integrity & personal conduct; sensitivity to diversity; Flexibility & adaptability; interpersonal skills; resilience; friendly.
