Translator/administrative Assistant

Purpose: to provide professional translation and interpretation services as well as administrative support   Key tasks and responsibilities   Take the lead in translating documents for the MENA Zone, from English to Arabic and vice versa, and interpreting from English to Arabic and vice versa   In those cases where IFRC outsources translation, manage the process of outsourcing, liaise with the external translation service and proof-read the documents when translated for accuracy and confirmity with IFRC standards   Ensure the timely and accurate completion of the day-to-day administrative support   Co-ordinating visits that take place at the office or outside and organize visit programmes, welcome note & briefing schedules, and other related manners for visitors, National Societies and partners.   Drafting responses to letters and similar correspondence   Taking notes at meetings and draft minutes and reports   Assist in the preparation of  travel and presentation of mission expenses   Circulate relevant information, reports, memos, and others  to all units and representative offices in a timely manner   Manage the archives and records facility and system for the MENA zone office   Develop, manage and update the Procedures Manual for the MENA zone office   Assist in the planning & organizing workshops and meetings Assist in the planning, organizing and providing logistical and support for the workshops and meetings taking place in the zone. Co-ordinate with the administrative team to arrange accommodation and flights for participants in meetings and workshops  Ensure that documents, stationary and needed materials for meetings and workshops are available  Assist in liaising with the finance team to perform financial arrangements needed for the meeting/workshops     Duties applicable to all staff Actively work towards the achievement of the Secretariat’s goals and abide by and work in accordance with the Red Cross/Red Crescent principles. Perform any other work related duties and responsibilities that may be assigned by the line manager or technical supervisor. The above job description can be altered accordingly as and when required to include any revised job function.n specification Person Specification Required Preferred General Good mental and physical health X   Experience 3 years of relevant qualification or professional experience in translation and interpretation X   3 years of relevant qualification or professional experience in administration     Experience in Working with the Red Cross/ Red Crescent   X Skills Good computer Skills (windows, spreadsheets, word-processing) X   Fluent in English and Arabic X   French language   X Core Competencies Able to work in stressful situations X   Pro-active and highly organized X
