The Information and Reporting Officer is the focal point for donor reporting and other communication tools used for both internal and external dissemination of information. S/he is also responsible to follow up on all health information system matters and will serve as the focal point for all field concerns related to the HIS system with the clinics. In addition he/she is responsible in assisting the M&E Officers with data gathering, data collection, and other daily tasks to facilitate reporting. He/she will be in regular contact with field staff to ensure timely and needed data collection is in place, and will help standardize reporting templates and tools. The Information and Reporting Officer stays abreast of situational developments, obtaining information from both internal and external sources to contextualize the work of IMC Lebanon. Place in the Organization The Information and Reporting Officer will report directly to the Monitoring and Evaluation Manager.   Furthermore, he/she will work closely with the Health and Mental Health/GBV M&E Officers and M&E Manager for the completion of tasks and timely reporting. Regular contact and follow up with the Deputy Country Director and staff in the field will be required. Primary Responsibilities The Information Reporting Officer will support the program teams in the development of narrative internal and external reporting, working closely with the Program Managers, Technical Advisors, Finance team, Operations  team and the MEAL team in ensuring reports, both narrative and financial are compliant to donor requirements and tally, are of high quality and are submitted on time. In addition, the Reporting Officer will support with the production of regular information and communications material including sitreps and other internal and external communications updates and materials as required. Essential Job Duties: Reporting and M&E Support Tasks 1.       Lead the development and standardization of reporting tools and data templates   2.       Responsible for management of data entry, data collection related to health, mental   3.       health, and GBV activities at IMC main office under the supervision of the M&E Manager   4.       Develop and Assist in the preparation and editing of all donor reports by compiling field level information   5.       Review draft reports submitted from the field and provide technical support to improve on the quality of the information provided, coherence and completeness of the reports;   6.       Produce high quality monthly, quarterly, and final internal and external reports after collecting and analyzing relevant information from M&E Officers, program teams and supported facilities (as needed)   7.       Maintain and update a donor reporting schedule     8.       Ensure that donor reports are in compliance with internal SC requirements and any relevant external donor requirements   9.       Gather and analyse information about donor responses to reporting guidelines, trends and preferences in reporting and disseminate this information to the relevant staff;   10.   Liaise as needed, with the relevant team members in the field (project managers, operations team and finance and awards team) to ensure that they provide additional information requested by the donors/member to complete reports;   11.   Contribute to documentation of lessons learnt and best practises for the country program;   12.   Maintain a database of the final versions of reports submitted and approved by the donors; 13.   · Periodically monitor the donor reporting processes and document challenges encountered and recommendations for improvement; 14.   · Participate in capacity building plans on reporting to the teams involved in reporting;   15.   Develop communication tools (for internal and external use), including maps, case studies, and infographics, to present information relating to programs and context   16.   Responsible for regularly updating IMC’s program updates and contingency stock information into Activity Info.   17.   Coordinate with staff to produce material useful in external communication on activities   18.   Classify, collate and store program information documents such as donor reports, proposals, photos and videos for easy access and retrieval from the online Sharefile   Other 1.       Conduct visits to IMC field sites when required 2.       Support the M&E team in conducting surveys, assessments and other monitoring activities as required, including but not limited to data entry, field visits and others. 3.       Any other duties requested by line managers. 4.       Adhere to all of IMC’s policies and procedures, including Code of Conduct and SOPs.             Requirements   .Excellent research and report/drafting skills;   · Proven ability to operate in a challenging and dynamic environment; good grasp of local cultural norms, issues and concepts;   · In-depth understanding of political, social and economic issues in the region;   · Ability to develop clear goals and identify priority activities and assignments;   · Proficiency in computer applications including internet, social science statistical applications, word processing, spreadsheets and database;   · Ability to establish and maintain effective working relations with colleagues and others in a team environment and with people of diverse backgrounds, cultures and nationalities;   · Proven critical thinking, creativity, innovative, analytical and drafting skills.   Desired Qualification   .University degree in development studies, economics, sociology and political science;   · Excellent written and spoken English & Arabic.   . 1-3 years’ experience working in a similar role in an INGO   · Significant experience of working internationally in humanitarian programmes   · Experience of project management and project cycle management, including project design, implementation and evaluation   · Good understanding of donor compliance and reporting mechanisms and requirements   · Good understanding of monitoring and evaluation mechanisms   · Ability to work well under pressure and work to deadlines
