International Medical Corps (IMC) is a global, humanitarian, nonprofit organization dedicated to saving lives and relieving suffering through health care training and relief and development programs. Established in 1984 by volunteer doctors and nurses, International Medical Corps is a private, voluntary, nonpolitical, nonsectarian organization. Job Summary
In the Middle East, including Lebanon, International Medical Corps has developed an Innovative appraoch of providing integrated case management for survivors of gender-based violence through its broader mental health and psychosocial support case managment program. This integrated case managment appraoch is provided by the GBV case workers who work with affected populations, including survivors, that have multiple and complex needs and require a comprehensive case management appraoch which identifies, supports, and protects those who are vulnerable and promotes stablitly and recovery. IMC case management ensures that survivors can access different levels of care.
Tasks & Responsibilities
Provide administrative and financial support to ensure that department operations are maintained in an effective, up to date and accurate manner
Receive and review all backup documents from the supported clinics, consultants, trainings, and centers in coordination with the GBV officers and field program assistants.
Prepare all check requests and payments according to the documents received.
Follow up and support on payment requests in accordance with available budget lines on national and field level.
Coordinate with field staff to collect documents for contracts preparation.
Liaise with HR, Finance and Compliance Departments to prepare Service agreement contracts and PHC contracts.
Close coordination with finance department to ensure all contracts and payment requirements on track.
Follow up on all administrative issues in the respective office
Coordinate with logistics department on supply chain purchases
Assist program team in preparation of trainings, scheduling and coordinating between consultants and centers etc…
Assist program team in preparation of workshops and other activities
Conduct field visits to follow up on payments as needed.
Perform regular scanning, copying and filing of backup and office documents.
Support field team as needed
Perform other tasks as requested by Program Manager.
Regularly update and monitor tracking sheet on Procurement requests
Any additional requests are requested by the GBV Program Manager
Reporting:
Monthly PA schedule including reminders, documentation, planning for payments and cash advances;
Backup of all procurement and payment documents
Financial overview report – expenses and estimations
Qualifications:
University degree in Business, Accounting, Social Work or related fields (BA or Masters)
Minimum 1 – 2 years in an administrative position.
Previous experience working in NGOs is a plus.
Fluency in English and written Arabic is a MUST.
Adheres to ethical considerations and principles in regards to working with vulnerable populations.
