The Warehouse & Medical Stock Manager will work as part of the Logistics dept. She/he will support the IMC Health program reporting directly to the Logistics Coordinator daily. The position is based in Beirut but will require regular visits to all IMC health field sites and offices
General Duties
Responsible for the warehouse, track, records and stock management in Beirut under the supervisor of the Logistics Coordinator. Distribute, track and transport to the field as required by the program.
Ensure storage, classification and organization of drugs and material according to IMC protocols.
Ensure efficient management of the stock both Medical and Non-Medical
Record medications and ensure receiving quantities order from suppliers and prepare necessary documentation as required.
Follow-up movements of drugs and material (entry, exit, destinations, etc.)
Follow-up on any expired drugs and destroyed material, quantification and their subsequent destruction.
Carry out regular physical inventories in accordance with the mission’s procedures.
In charge of Stock level in Beirut main warehouse that include Medical commodities in addition to all NFI .
Report to the health department on Medical commodities with shelf life less than six month and work closely to be dispensed directly.
Provide accurate data (entry-exit), inventories and warehouse consumption follow-up database to facilitate efficient drugs and material orders
Apply hygiene and security procedures in the medical warehouse.
Ensure that temperature, humidity and light exposure in the warehouse is in accordance with the requirements of the products, in particular ascertain that the cold chain is functioning, maintained, calibrated and storage conditions are according to the World Health Organization standards as well as satisfying national regulations.
Responsible to manage the Medical items donations between warehouse and the clinics.
Supervise and train pharmacy assistants in the supported clinic. All topics related to medications, pharmacy management stock control, generating stock lists, and the proper handling of medicines.
Responsible to send PRs and RFQ to supplier after being submitted and signed by Program
Responsible to update Stock Report on Daily Basis
Is the focal point to contact all Pharmaceutical suppliers
Responsible to insure all medication are well received In the clinics from the suppliers
Responsible to update the warehouse inspection List on Quarterly basis and insure its being implemented as needed
Provide technical support to the Logistics/program teams for procurement of pharmaceuticals, medical devices and equipment.
Follow up on Procurements with the Logistic Department team ensuring timely procurement, transport and delivery of medical supplies to Medical Store in the Central Warehouse or directly to the clinic
Will be responsible to prepare the Comparison sheet of Medication and act as the main focal point to analysis each item and chose as per MOH and IMC regulation .
Manage and conduct Pharmaceutical Control Inspections of medical supplies at their temporary storage areas at ports of entry, including physical attendance and collection of inspected files (invoices /delivery notes).
As per the warehouse management procedure, is responsible for the correct follow up and documentation of the items in his warehouse and the in/out flow of items from / to his warehouse.

As per the donation procedure, is responsible for the tracking and proper documentation of the donated items in his warehouse and the in/out flow of these donated items from / to his warehouse.
Should use the appropriate documents (GIO / GRN / Waybills / Stock cards) and request signature to the appropriate staff. Is accountable for any item which went through is warehouse and should be able to provide any appropriate documentation.
Focal point to do new Market Research of any new supplier to be added to IMCs vendor list
Reporting
The Warehouse & Medical Stock Manager is part of the logistics department and therefore will work closely under the direction of this department.
Send on a Monthly basis the tracking sheet of available medication / Medical supplies in the warehouse to the health department and the logistics departments.
DESIRABLE QUALIFICATIONS:
Knowledge of pharmaceutical laws and regulations.
Knowledge of accounting, storekeeping and supply procedures.
Knowledge of WORD HEALTH ORGANIZATION guidelines in quality assurance of medical supplies/pharmaceuticals.
Experience
At least two years of experience in pharmacy services preferable in the NGO field
Skills and Competencies
BS degree in Pharmacy.
Ability to establish and maintain effective working relationships with others in team working environment.
Excellent communication and negotiation skills, sound judgment and demonstrated problem-solving skills;
