2023 32 - HR Interns (2 positions)

Under the Overall supervision of Head of Office, guidance of the Head of Resources Management and direct supervision of the Senior HR Assistant, the incumbent will act as Human Resources Intern undertaking the following:

General functions:

  • Assist with the general administrative functions of the Human Resources Unit in the day-to-day processes. 
  • Ensure proper and systematic filing of personnel files according to established standards. Ensure electronic filing in SAP PRISM when needed.
  • Follow-up on mandatory staff trainings and ensure training certificates are on file. 
  • Provide general administrative assistance in recruitment processes including but not limited to posting job advertisement, screening resumes, schedule interviews with candidates, preparing and sending communication to candidates and collecting references.
  • E-filing and maintaining personnel files as per the HR document matrix for the digitalization process
  • Creating personnel files in SharePoint
  • Follow a standard naming protocol for files and folder creation
  • Ensure necessary documents are on file, scan, or request documents from personnel as necessary, and upload using the naming protocol
  • Add checklist to each folder and update accordingly
  • Perform other related duties as may be required.

Required Qualifications and Experience

 

Experience: 

  • A previous internship or related work experience in human resources would be a distinct advantage.

  • Strong administrative and organizational skills.
  • Excellent writing and drafting skills.
  • Knowledge of SAP is an asset.
  • Computer literacy, especially database tools.

Eligibility requirements

Applicants to IOM internships:

  • must, at the time of application, a) be enrolled in the final academic year of a first university degree programme (minimum Bachelor’s level or equivalent); or b) be enrolled in a graduate school programme (second university degree or equivalent, or higher); or c) have graduated with a university degree and, if selected, must commence the internship within one year of graduation.
  • must be between 20 and 36 years of age. 
  • should have a working knowledge (both oral and written) of in one of IOM’s official languages (English).
