Data Processing Assistant - Beirut

Under the overall supervision of the Head of IOM Office in Lebanon and the direct supervision of the Head of Beirut Migration Health Assessment Clinics/ Senior Operations Officer the incumbent is responsible to: Registration of bio-data for all pre-screening medical forms. Data entry of all post-screening medical forms and documents into the data base based on the photocopies of medical forms received. File and research, when needed, for follow-up and preparation of medical travel packages. File incoming/outgoing letters, reports, memoranda, emails, faxes as well as IOM documents and forms. Support when necessary the Panel Physician and the Senior Operations on duties and tasks assigned to the Data Processing, Analysis and IT Applications Sub-Unit. Attend to all incoming calls, walk-ins, and other inquiries regarding the MHD programs and Provide information, relevant to medical processing, to the applicants, inform the applicants for their medical appointment either by phone or personally. Check and make photocopy proof of payment. Regularly submit these photocopies to the administrative/finance officer and Facilitate Payment of service fees. Submit monthly report to the administrative/finance officer on the Medical activity held in MHD. Prepare master lists of applicants scheduled for chest X-ray and sputum tests and submit them to respective service providers. Prepare the medical file and all related forms, Print out medical forms with biodata. If requested so, accompany the applicants to the radiology unit and ensure the identity of the applicants, undergoing X-ray. Inform the applicants about need for additional investigations (if not done by the Migration Health Physician/Nurse) and make appointments for these investigations. Enter information from the medical form into the database (Data Entry), if so requested. Collect monthly statistical information in IOM format and submit it to the head of Migration health department and Chief Nurse for all self-payers attended for self-payers. Set up and maintain in order storage system for chest X-ray and hard copies of medical documents (informed consent, radiologist’s report, sputum smear results, pregnancy test results, etc.). Arrange the schedule for the on call doctors for the “Fit for Travel” health screening undertaken by Migrants and refugees departing from Beirut International airport. Performing any other duties from time to time
