Under the overall supervision of the Chief of Mission and the direct supervision of Resource Management Officer, the successful candidate will be responsible and accountable for providing necessary support to human resources functions of IOM Beirut mission and hub/satellite offices.
Core functions/ responsibilities
1. Assist in the maintenance and update of personnel files for national staff;
2. Assist in the recruitment and assignment of local general service staff. Prepare documents for the interview panel for the recruitment of local staff;
3. Process local staff members’ contracts, entitlements and benefits;
4. Process the separation documents for national staff including preparation and issuance of the separation notices, coordinating with PAC the submission of the separation clearance forms and staff entitlements before releasing the final payment and prepare employment certificates;
5. Arrange for the employees’ Entry on Duty Medical Examination, follow up with PAC regarding their medical clearance as well as the completion of the medical forms for the admission to IOM medical service plan;
6. Prepare and submit the monthly reports on personnel matters to PAC (PEF,MSP and CP reports);
7. Regularly check the attendance reports for SMs as well as track staff members annual leaves balances and notify the staff and the supervisor when there is a need;
8. Assist newly-arrived international staff with administrative formalities related to their accreditations, , submission of completed forms and related documents to headquarters, arrange travel and hotel reservation.
9. Keep updates to the organizational structure and check data to ensure consistency and accuracy
10. Establish and maintain an electronic systematic way to archive all HR documents, newly issued policies and official letters;
