Operations Assistant - Beirut

Under the overall supervision of the Chief of Mission and direct supervision of the Senior Operations Officer, the successful candidate will be responsible and accountable for providing necessary support to operational/movement functions of IOM Beirut mission and hub/satellite offices.   Travel arrangements for staff travel: Arrange booking through the airlines and Amadeus; follow-up with airlines on bookings and tickets issuance Use of MIMOSA system for preparation of ABNs to the US, reservation, cost and all movement related documents. Use of I-GATOR system for creating TOR for US movements and follow-up on all it matters. Prepare all related documents for refugees traveling to the US, complete travel packets and send Promissory Notes to the US. Arrange for POMS appointments and follow up. Act in response to individual inquiries submitted by different countries. Maintain proper supportive documents for all the movements. Keep all documents up to date for easy reference Participate in meetings conducted with the donor countries, and be involved accordingly. Assist in guiding, coordinating and monitoring work of operations staff and Movement Assistants in the office. Prepare departure statistics on a monthly basis. Provide inputs for the adjustment of internal procedures or improvements to process efficiency. Perform additional tasks as per supervisor’s request and/or during the absence of any Operations staff.
