Senior Operations Assistant

Under the overall supervision of the Chief of Mission and direct supervision of the Senior Operations Officer, the successful candidate will be responsible and accountable for the coordination of Operations and Movements of IOM Beirut mission and for the achievement of project goals and quality control. Monitor departures to the US, Canada, Australia, Sweden, Norway, the Netherlands and other resettlement countries.  Ensure that IOM Beirut comply with the most recent version of Handbook of International tariffs, Movement Management Manual (MMM), lOM agreements with airline carriers and negotiate additional agreements with local airline carriers to ensure efficient, low-cost movements of refugees in full coordination with RMM  Ensure good communication between IOM, UNHCR and embassies in all matters related to Movement  Serves as the direct liaison with RMM Division in GYA, IOM NY, IOM Canberra, IOM Ottawa and other IOM missions involved in the reception of refugee resettlement programmes regarding all movement management processes Arrange bookings for non USRP movements using AMADEUS and follow up with all airlines on booking, ticket issuance and all related travel matters  Use MIMOSA system to generate ABNs and warrants and to create reservations and loans. Use SIMA system to download US proflight schedules for each quarter of the year and coordinate with airlines to confirm slots in advance. Creating TOR for all departed movements on i-GATOR and making necessary amendments Submit HASM report for approval and follow up on the case until departure Prepare warrants for Canadian Movements and send the different copies to the concerned parties  Record all data related to Canadian medical examination fees and prepare PR for invoicing purposes in addition to sending medical files to Paris and copies for Amman. Perform such other duties as may be assigned.

a) Bachelor’s degree from an accredited academic institution preferably in Political or Social Sciences, Law and/ or Business Administration; b) 5 years of relevant experience in air movement operations; c) experience in working with governmental and diplomatic authorities as well as with international organizations; d) in-depth knowledge of the electronic tools AMADEUS, MIMOSA, I-Gator and SIMA; e)
experience in negotiating fares and local agreements with airlines and travel agents; f) proven ability to supervise, train and direct staff and manage large operation
