I. Summary
The Reporting and & Communication Officer has a double-edged job:
1) As Reporting Officer; he / she is responsible for writing weekly, monthly, quarterly, and semi-annual reports that aim to keep HQ, donors, and partners fully informed about IOCC activities and to encourage their ongoing support for the organization
2) As Communication Officer; he / she is responsible for implementing IOCC’s communication plan, which calls for a broad media strategy that will help increase IOCC’s visibility within the Orthodox Church and among the general public. The Officer serves as a liaison between the mass media and IOCC.
II. General Responsibilities
Compiling necessary information to write monthly and quarterly distribution reports that aim to keep HQ, donors, and partners fully informed about IOCC activities and to encourage their ongoing support for the organization. Report preparation is done in coordination with the Program Manager and Field Coordinator.
Preparing minutes and regularly updating program and project update sheets, press releases, speeches, and other IOCC communications materials.
Looking for the “successes” of IOCC to reflect the influence, impact, and changes the IOCC projects are creating, and then write articles about these “success stories”.
Carrying out written translation services as needed by IOCC expatriate staff, as well as translate documents about IOCC or other NGOs that need translation.
Performing weekly field trips to benefiting areas; collecting information needed for reports through interviews or observations.
Following up news on a daily basis to be updated on political, economic, and social situation in Lebanon, as well as follow up other NGO activities and do some kind of daily press clipping or news monitoring in order to add the main news in the reports and inform staff about happenings on regular basis.
Filing the reports, minutes, articles, pictures and any other documents that need to be filing for future reference. Hard and electronic copies of articles and photos are also filed.
Regularly having resumes of activities and fieldwork posted on IOCC website (updated texts, pictures, video, and sound). Using video and audio whenever possible enhances the transmission of our message.
Creating video news footage and television public announcements to gain further exposure for IOCC and free air time. This includes writing video scripts.
Updating picture gallery for organization’s activities.
Assisting in the research and preparation of written communication, including newsletters, leaflets, booklets, brochures, posters and other promotional materials to introduce the work of IOCC.
Initiating radio, television and print interviews by targeting the appropriate media and tailoring story ideas to their specific needs. This includes responding to media queries about IOCC.
Briefing and training IOCC spokesperson on ways to give effective print and broadcast interviews. This includes preparing talking points and message points.
Correcting erroneous information and improving the interpretations and understanding of existing information.
Cultivating cordial but professional relations with the media industry, supplying news material to all journalists, even those perceived as less than friendly.
Building up and maintaining an up-to-date media contact database in order to quickly target media when having a story to tell.
Preparing press packets or media kits for the press which includes brochures, resumes of activities, photos, DVDs or any material about IOCC which journalists can use to write stories.
Setting up and coordinating media field trips and providing assistance to the media.
Monitoring and evaluating media coverage of IOCC activities.
Organizing meetings/lunch meetings with key media representatives to build up mutual professional and sociable relations.
Performing other duties as required.
III. Qualifications
Knowledge and Skills: News writing, editing, reporting, interviewing, basic word processing, typing; knowledge of news media industry, especially print; contacts with news professionals; knowledge of Orthodox Church.
Competencies: Ability to build positive relationships with staff; team work spirit; ability to analyze data; capability to meet deadlines; work well with others.
