Program Assistant

Under the supervision of the Program Manager and in coordination with the Program and Finance Departments, Program Assistant is responsible for overall operation support, including:   Engage in daily meetings with Lebanon Office Staff and other IRD staff to manage project and office activities. Serve as point of contact on the all office management, administrative and operations issues. Manage and supervise all office expenditures. Collect office bills for regular office expenditures and submit them for approval to the Program Manager & Finance Manager. Review petty cash custody and the petty cash reconciliation bi-monthly. Maintain proper and confidential filing of program related documents, office asset register and project equipment inventory list. In coordination with Program Manager perform a quarterly count of the office equipment and update inventory list accordingly. Track vacation, attendance and sick leave accrual sheets. Oversee administrative support to all program staff as needed. Prepare and oversee the logistics of conferences, workshops, seminars, meetings etc. Oversee airlines, hotel and visa arrangements. Maintain office functionality by ensuring that all office equipment is in good and operable condition and that adequate levels of office stationary and supplies are maintained. Supporting HR functions, including recruitment and retention of staff in compliance with organization and donor requirements Daily management of  drivers and housekeeping staff Support logistic needs of program, including travel itineraries, visas, and transportation of program staff, beneficiaries, and visitors Other duties as assigned by the Program Manager   Qualifications/Desired Skills: Bachelor’s degree  from an accredited university 3 to 5 years of experience working at international NGO Experience in development projects. Ability to work simultaneously on multiple tasks in a fast-paced working environment Very organized with attention to detail and follow-up Ability to maintain strict confidentiality Working proficiency of English and Arabic is a must Knowledge of Microsoft Suite
