Child Protection Program Administrator

SCOPE OF WORK: The CP Program Administrator is based and Beirut and responsible to support the Child Protection program in terms of operation (admin, HR, finance and logistic). Position objectives: Facilitate all HR task related to CP program Facilitate all Finance task related to CP program Facilitate all Logistic task related to CP program Who this position reports to:  CP Coordinator   RESPONSIBILITIES: HR Focal point regarding the hiring and HR management of the 269 CP volunteers (making contract, renewal, end of contract documentation, etc) Keep track of the Child Protection team members, by updating organogram, contact list and HR Recruitment Tracking Report Follow-up with the CP Managers of submission of time sheets, performance evaluation dead line, etc. Organize and manage the interview schedules for the recruitment of CP positions Assist program staff in job interviews and offers when necessary Maintain all interview notes and necessary HR documentation Assist with job postings and announcements (municipalities, community centers, Daleel Madani, other job boards, etc.) Advise volunteer candidates on writing CV’s and job applications Coordinate closely with HR for all documentation and paperwork Finance Prepare on a monthly basis, after approval of CP Managers the payment request and all other relevant documentation for the payment of the 269 volunteers Play the role of the hotline in case of challenges regarding the ATM card used by the volunteers Provide support to the volunteers having challenges with their ATM card, either directly or through the CP focal point in the field Facilitate the preparation of payment request, cash advance etc when required Support the follow up of budget expenditure and analysis for future budget development Participate in BVA and ensure that CP expenses are coded appropriately Any other Finance task related to CP as required   Logistic Compile a purchase request (PR) tracker for the field base and Beirut Support the development of PR and ensure that PR get signed in a timely manner Collaborate with the Supply Chain department to get feedback on the progress of PR Any other logistic task related to CP as required   Other Provide field visit support to provide explanation regarding HR, finance, logistique procedure to program staff Provide orientation as relevant on HR, finance and operation to new staff Coordinate with the Managers and officers from Operations Participate in coordination for CP as required   REQUIREMENTS:   Demonstrated customer service skills Strong verbal and written communication skills in English and Arabic Ability to multi-task and collaborate with many departments and key stakeholders Interest in Child Protection program and humanitarian work Experience in working in an INGO preferred Capacity in working under pressure and deadlines Be meticulous, organized, precise communication skilled and a team player Proficient in Microsoft Word and Excel mandatory
