Assistant Project Manager

INTERSOS Office LEBANON - National Staff Position   Position:          Assistant Project Manager Job site:           Sour (South) and Bekaa (Rashaya) Report to:         Project Manager Status:              Fulltime   Purpose / Objectives: The overall task of the Assistant Project Manager is to support the Project Manager and the INTERSOS management staff in the implementation of the project Protection of vulnerable children and women from violence, exploitation, abuse and neglect in Lebanon. She/he will contribute to the accurate realization of all assigned project activities and their relative economic and financial administration.   Responsibilities/duties: Project cycle management: Assist the Program Manager in management and implementation process of the project’s components. Guide and Assist the project’s Coordinator and Field Activities Coordinators in planning, monitoring and evaluation the activities; Assist in ensuring that project teams develop detailed activity plans in line with the objectives of donor proposal. Support in defining and applying roles, procedures, operating process and working methodologies required to ensure a proper management of the project. Monitoring and reporting: Participate in monitoring of project activities gathering information to be reported into the PAT. Contribute in writing and formatting activities weekly and monthly reports and to the preparation of documents for interimand final narrative and financial reports required by the donor. Procurement & logistics: Assist the Program Manager and the staff involved in the execution of procurement procedures and the administrative and finance department for the preparation of contracts with awarded suppliers; follow-up on contract signing and document/payment delivery and collection. In coordination with Logistic Sector organize and supervise all logistic aspects and documentation for good/supplies: way-bills, packing lists, final delivery/distribution records. Contribute to check the warehouse stock management and for the accuracy of the monthly inventory; Documentation: Support the Project Manager in the preparation of all project documentation up until its conclusion, including the organization of the project archive Take pictures and correlated information on activities carried out and any other matters pertaining the area of intervention during field visit Human resource management: Support in managing human resources involved in the project and carry out performance appraisals; Contribute in managing project personnel and promote role-positioning, education, training, growth and assumption of responsibility; Support in supervising, motivating and appraising personnel and promote its cohesion; Participate in new staff selection process. Coordination and representation: Participate in staff coordination meetings and contribute to follow up the project activities Attend meetings and events organized by donors and/or other humanitarian agencies, providing minutes to the Program Manager Maintain relationship with competent authorities   Other:   Support the development of new concepts and project proposals, including research and drafting specific sections of concepts and proposals Report any problem or concern to the Project Manager Perform other related duties upon request to support the project team and the project implementation process   The Assistant Project Manager undertakes to fulfil these tasks and to respect and keep any confidential information relating to the local partners and INTERSOS beyond the reach of any third party.   Qualifications:   -       Advanced university degree in social sciences or related field; -       3+ year experience in management/coordination positions with NGOs; -       Good Knowledge of the project cycle management; -       Good planning and monitoring skills; -       Familiarity with CP Minimum Standard in Emergency; -       Strong organizational and supervisory skills with excellent reporting & writing skills; -       Positive and professional attitude, including ability to lead and work well in a team setting; -       Strong interpersonal skill and communication skills; -       An excellent command of verbal and written English; -       Good knowledge word and excel; -       Driving license holder; -       The selected candidate is expected to conduct weekly field visit;   Any change to the proposed activities should be discussed with the INTERSOS officers in Tyre. A high degree of flexibility on the part of all staff is expected in order to respond to the ever-evolving situation. This job description may change based on the situation in the field. He/she can be asked required to perform other related duties as identified by his supervisor.   The Assistant Project Manager must know the INTERSOS Chart of Values and Code of Ethics and must ensure that the same knowledge will be address to all the field staff.
