Planning
At the start of each week (Monday morning) the senior caseworkers together with the caseworkers make a planning for the week, to decide who does what and goes where when. To ensure successful planning, the SCW liaises with the protection monitoring team, community mobilizer and FAC beforehand, to avoid duplication.
Ideally, always one CW joins the protection monitoring team on visits to new locations. Home and field visits to new locations should always be done by at least two staff together. Follow up visits can be done by caseworkers alone as well, but this should be assessed on case by case basis.
SCWs receive referrals (from PO, protection monitoring team etc) and decide which caseworker will follow up. SCW will ensure equal division of workload, and will flag issues of overload of caseworkers with PO in advance.
Reporting
Support the caseworkers in proper documentation in forms and databases. Caseworkers keep forms and files themselves as much as they can, but SCW should provide support and capacity building where needed.
Checking of final databases and forms (including IRFs and Cash Assistance Requests) before sharing with RO and PO
Reporting tools should be shared latest Friday at 12.00 with RO and PO.
Responsible to ensure all files (hard and soft copy) are stored appropriately.
Case management
Each caseworker is responsible for their own cases, including proper keeping of forms and documentation, as well as preparing cash assistance requests and IRFs. However, SCW will check IRF and CARQs before sharing with PO, putting RO and relevant caseworkers in copy. IRFs shared with agencies by RO/PO.
Concerning follow up with the cases; on Fridays, senior caseworkers provide overview of which cases are still awaiting follow up after referral, and for how long already. Send to PO and RO, they will contact agencies as appropriate
PO visits each center at least once every two weeks. SCWs ensure everyone is present and prepared for the case management meeting.
Technical case management support of cases is the responsibility of PO. However, SCW supports the team in finding solutions and appropriate responses to everyday challenges, and will flag issues (both urgent and structural) with case management to the PO
Team dynamics and overall functioning of the center
SCWs flag issues in team dynamics or collaboration with colleagues at the center with PO and try to solve these issues as much as possible to prevent Case Management is affected
SCWs flag issues concerning security and changes of environment in the field, and support identification of appropriate responses
SCWs support positive team dynamics. This includes providing support and space for caseworkers to express emotions and experiences within the case management team at each location. SCW should work on creating trust within the teams
SCW keeps PO updated on general developments in the center and how this impacts on CM activities
SCW reports misconduct of CWs and other protection staff confidentially to the PO.
Meetings, trainings and capacity building
Senior caseworkers meet every Friday 12-2 with PO and RO. They will take minutes on rotational basis. They will ensure agreements made during the meetings and knowledge acquired will be shared with the caseworkers. Meetings take place at the centers.
Senior caseworkers will participate in capacity building initiatives such as trainings, and ensure to agree with PO on how to best transfer this knowledge to colleagues
PO will visit each centre once per two weeks for case management meetings. All SCWS and CWS meet once per month in Zahle office.
SCWs take part in UNHCR case management meetings when these are called for
Focal points
SCWswill function as focal point to follow up on specific themes (health, PSS, shelter etc) Each SCW will be responsible for one specific theme
