Field Activity Coodinator

  MAIN RESPONSIBLITIES:With the support and supervision of the Project Manager, the Field Activities Coordinator is responsible for the correct and efficient implementation of the projects activities in the assigned area and for the overall supervision of the projects’ teams.Provide ongoing oversight, leadership, and guidance to the staff teams to ensure that the projects meet high quality and best practice standards and prioritize the safety and security of beneficiaries and staff. MAIN TASKS & DUTIES:1. Ensure a permanent monitoring of projects’ teams’ activities (outreach and in the center).2. Support the staff teams through the development of a technically sound (monthly & weekly) work plan consistent with the goals and objectives of the project.3. Plan, elaborate and design the activities planning for all beneficiaries (informal skill training, awareness, and social & recreational and informal education activities) in collaboration with the Senior Social worker, accordingly to INTERSOS guidelines on PSS activities.4. Organize weekly/monthly meetings to plan and monitor the correct implementation of the activities with the senior social worker, the PSS coordinator and the team.5. Ensure timely and quality implementation of the work plan, in coordination with field team.6. Ensure smooth communication and coordination between the projects’ team.7. Accordingly to INTERSOS strategy and with the collaboration of the staff, liaise with local stakeholders, service providers, local government bodies (primarily CDSs) and other community services centers for strengthening joint planning and synergies for community participation.8. Maintain good working relations with key actors among the refugees from Syria, Lebanese host community and local authorities in collaboration with the PM.9. Engage the volunteers in the planned socio-recreational activities held at the assigned center.10. Strengthen coordination among the projects’ teams, ensuring that there is a comprehensive link and mainstream between the different project components (PSS and Case Management).11. Participate in the recruitment of project staff and provide regular objective feedback with regards to staff performance (evaluate performance and delivery against job descriptions), expectations and areas for growth and professional development to the PM. 12. Ensure the team in the respective area is working effectively together, mitigate in case of tensions and conflict and report immediately on HR related issues to the PM.13. Monitor and ensure a daily respect of INTERSOS internal rules for all the team (respect of working hours, filled properly the attendance sheet,..).14. Ensure that a weekly expenditure planning (Liquidity Plan) is prepared and timely delivered to the Project Manager maximum each Friday morning including expected costs for:a. Cost to deliver/implement activities;b. Any related costs for Cash Assistance for CP and SGBV cases.15. Prepare a monthly request (accordingly to the existing format) for all running costs of the center (cleaning services, stationary, maintenance, equipment etc) and send it to the PM and the logistician.16. Ensure that all the financial documentation is completed accurately as required and provided on a weekly basis to the PM and the projects Admin (purchase request, attendance sheets,..).17. Reporting:a. Ensure qualitative & timely weekly reports to the Project Manager, Protection officer and Reporting Officer on the basis of inputs provided by the different Senior SW and staff, giving a comprehensive overview of the achievements and targets reached per activity (activity implementation progress) conducted, indicating the challenges and mitigating measures proposed or to be implemented, indicating issues related to HR;b. Provide qualitative & timely monthly report (before the 05 of each month) giving an overview and an analysis of the activities implemented, issues and challenges faced by the team.c. Provide all the information requested by the Project Manager giving a comprehensive overview of the achievements and targets reached per activity (activity implementation progress) conducted, indicating the challenges and mitigating measures proposed or to be implemented, indicating issues related to HR, and refer to next month’s planning, etc.18. Other:a. Participate to all coordination meetings for INTERSOS team in Beirut office.b. Be available for eventual trainings provided by INTERSOS and provide technical support to the social workers, senior social worker and caseworkers through punctual training and coaching identifying lessons learned and best gateways to reach the projects’ objectives.c. Meet with other INTERSOS projects staff as required: conduct punctual meetings for sharing ideas, priorities with projects’ teams’ members.d. Maintain positive coordination and relationships with partners by liaising and collaborating with other INGOs and LNGOs when required.19. Perform other related duties upon request to support the project team and the project implementation process. Overall these tasks require from the Field Activities Coordinator:- Neutrality- Excellent coordination skills- Example role toward the other staff & very good working relation with all the INTERSOS staff, at all echelons- Clear & timely communications to line management on any problems, issues raised in the center - Very good knowledge of INTERSOS programme (what do we do, why and how), internal rules and guidelines and INTERSOS Charter of Value and Code of Ethics (this information to be used in representation, advocacy, liaison tasks and responsibilities. Any change to the proposed activities should be discussed with the INTERSOS officers in Beirut. A high degree of flexibility on the part of all staff is expected in order to respond to the ever-evolving situation. This job description may change based on the situation in the field. He/she can be asked required to perform other related duties as identified by his supervisor.
