Logistics Assistant - North

Job Purpose:

The Logistics Assistant is responsible for the procurement of supplies, services and equipment needed as per projects and office requirements. He/she is also responsible for fleet management on area level according to INTERSOS procedures.

 

Generic Duties:

  • Implmement effective and cost efficient procurement planning, by ensuring weekly and monthly needs mapping per project team .
  • Compile and maintain an established supplier list per base.
  • Ensure regular rent, util.ities payments (electricity, water, internet, etc.) and running costs are paid.
  • Coordinate with the finance department to ensure that payments to vendors are made on-time and without any unnecessary stain on the financial systems.
  • Ensure that all necessary documentation and donor filing is updated.
  • Ensure proper mechanical inspection for base vehicle.
  • Responsible for proper maintenance of assets and office equipment .
  • Coordinate all Vehicle Rentals within office level.
  • Monthly vehicle utilization analysis.
  • Bring to the attention of the Logistics and procurement officer any abnormal usage or abuse of vehicles recorded on the Vehicle Log Sheets.
  • Liaise with drivers and ensure timely servicing of INTERSOS vehicles
  • Update regularly the INTERSOS Asset List using IMP platform.
  • Bring to the attention of the Logistics and procurement officer for any abnormality in the management of the INTERSOS Assets.
  • Monthly complete the vehicle documentation and reconciliation requirements.
  • Monthly reconciliation of the fuel used and recorded.
  • Maintain INTERSOS Accident Register
  • Follow up the maintenance of the office and the Guest houses.
  • Other duties as deemed necessary by line manager.

 

Competencies:  (Knowledge, Skills & Abilities)

 

Professional Competencies:

  • Minimum 3 years of relevant logistics work experience
  • Good knowledge of procurement process
  • Knowledge in car and office equipment  maintenance
  • Proficient in MS office (word, excel..)
  • Valid Lebanese driving license

 

Behavioural competencies:

  • High level of integrity and understanding of procurement ethics.
  • High level of planning & organizational skills & able to meet deadlines.
  • High level of Analytical thinking.
  • Excellent communication and interpersonal skills.
  • Very good negotiation skills.
