Reporting Officer

Job Purpose:

The Reporting Officer is responsible for reporting, processing and analysing qualitative and quantitative data concerning the activities implemented by INTERSOS and supervising the data entry clerk team on departmental tasks.

 

Generic Duties:

  1. Maintain accurate database by monitoring and reviewing regular sources of information
  2. Update on a weekly and monthly basis the internal and external databases.
  3. Process weekly, monthly and quarterly internal and external qualitative and quantitative reports.
  4. Support in the development of monitoring and reporting tools and in their analysis
  5. Deliver trainings to field staff on data processing and on reporting and analysis skills
  6. Be available to participate in sectorial meeting and training organized by INTERSOS or external stakeholder.
  7. Accomplish any task requested by PM, PROM and any for other business requested by the mission
  8. Supervise the data entry clerk team on the below tasks:
  • Update on a weekly and monthly basis the internal and external databases
  • Process weekly, monthly, and quarterly internal and external qualitative and quantitative report.
  • Update Activity Info, Internal Reporting System, Refugee Assistance Information System –RAIS- Primero

 

Monitoring and Reporting

  1. Provide daily, weekly, monthly and quarterly quantitative and qualitative updates on the base of the tools adopted.
  2. Ensure the effective adoption of internal and external monitoring systems 

 

 

Specific Duties:

(It can be adapted to the particularities of the job location and the requirement of the project. This section shall be revised whenever a new employee is hired).

  1. Provide qualitative and quantitative monthly and quarterly report.
  2. Establish a protection monitoring system in order to collect the data request from the donor
  3. Adopt appropriate tools for data collection about protection monitoring system
  4. Develop qualitative and quantitative monitoring tools in line with donors requests for internal and external use
  5. Contribute to the preparation and the revision of data and M&E report related to field activities (monthly/quarterly donor reports and other ad hoc report).
  6. Compel with donors’ monitoring requirement adopting ad hoc monitoring tools, systems and databases (ex. Activity Info, Internal Reporting System, Refugee Assistance Information System –RAIS- Primero)
  7. Attend training and where necessary, provided internally or externally in accordance with donor and INTERSOS requirement
  8. Conducting trainings and regular field visit for staff monitoring and reporting capacity building on internal and external tools
  9. Be the focal point for collecting and processing data received from field staff ensuring qualitative and quantitative consistency.
  10. Support field staff in presenting data processed.
  11. Preparing qualitative and quantitative reports analysing and evaluating data received from Data Entry Clerks.
  12. Prepare ad hoc documentations on implementation and progress of activities against target
  13. Responding to periodic donor and internal requests for additional information on project activities their performance and result
  14. Participating in sectorial meeting representing INTERSOS as needed,
  15. Liaise with colleagues in charge of reporting, monitoring, evaluation and quality, country-wide, for sharing information, knowledge and to respond to managerial requests.
  16. Be available to take part in meeting organized at INTERSOS office or in other offices as per management request.

Professional Competencies:

  • Minimum 3 years of relevant work experience.
  • Computer proficiency (Word, Excel – proficient in formulas and charting, outlook).
  • Reporting skills.
  • Good level of numeracy.
