Overall Responsibility
Human Resource and Administrative Officer is responsible to manage administration activities in the office and taking responsibility to conduct tasks related to Human Resources management. He/ she will work closely with other staff members and report to the Country Director to support operation and programme functions of the office.
Main Duties and Responsibilities
Administrative tasks:
Manage office equipment and infrastructure to ensure a well- running office.
Responsible for the overall running of the reception operation.
Prepare correspondence, memos, reports, presentations, and emails to local counterparts, donors or other related offices or agencies in relation to the office operations
Update the filing system and manage filing the office documents for both hard and electronic copies.
Carry out other duties such as translation works as requested by the supervisor.
Human Resource Tasks:
Recommend and execute policies, procedures, rules, regulations for employees in compliance with the Lebanese Labor Law.
Review and update all human resources policies to meet with the organization’s needs.
Plan and facilitate HR activities in the team: contract, recruitment, employee relation.
Ensure to develop job descriptions for current/ new positions.
Maintain current organizational chart and current staff contact list.
Assist the progress of job planning and performance management.
Establish and maintain relations with government, Ministry of Labor and other related personnel stakeholders.
Monitor and record employee time sheets and leave requests.
Support for procedures or papers relating to personnel or staffing issues.
Monitor staff overtimes, and check proper calculations for finance department.
Conduct instruction for staff members about admin and HR procedures.
Assist in preparing documents related to monthly salaries and payments of employees.
Follow up contracts start & end date to ensure that all employees’ files have the required documents of renewal or terminated.
Ensure all employees have insurance document and NSSF documents.
Prepare for interview such as: receive and screen resumes & applications, inform candidates, for interview, ensure interview environment in professional manner.
Follow up the temporary employees, Volunteers and trainees.
Maintain monthly screening for all IRL users (Staff, consultants, volunteer, interns) through IRW Screening Database.
Handle internal complaints and grievances related to IRL staff members, and conduct proper channel of registering, investigating, taking remedial actions and providing feedback on complaints;
Ensure that all expat documents and paperwork related to their status of work and residency are in place.
Dispatch training opportunities to all IRL staff based on the needs.
Carry out Other related assignments instructed by the CD.

Eligibility to work in the country (having work permit).
Islamic Relief Worldwide- Lebanon Office is not responsible for issuing visa/ work permit/ accommodation.
