Overall Responsibility

Office clerk is responsible to enter data into a proprietary database using a simple system, spreadsheet and internal documents. The proprietary database is used through the organization to create, update, track, process beneficiaries and Suppliers’ data and ultimately match their needs.

 

 

Main Duties and Responsibilities

  1. Prepare source data for computer entry by compiling and sorting information.
  2. Establishing entry priorities.
  3. Attached payment and document to the System and ability to print out from the System
  4. Purging files to eliminate duplication of data.
  5. Reviewing output of data.
  6. Contributing to team effort by accomplishing related results as needed.
  7. Secure information by completing data base backups.
  8. Protect operations by keeping information confidential.
  9. Performing any other duty requested by line manager.

Person Specification                                                                                                                                     

Experience / Education/Skills- Essential               

  • A diploma of Business Administration and data processing (bachelor degree is preferred).
  • Minimum 1-2 years of relative experience in a similar position, preferred with international NGOs.
  • Excellent IT and typing skills.

Ability To

  • Work independently with minimal supervision.
  • Read, comprehend and interpret written materials of moderate to complex difficulty.
  • Records management systems (both automated and paper files) to ensure accurate maintenance of files and ease of retrieval.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of work.
  • Having high attention to details.

Language                                                                            

  • Fluency in English & Arabic (written and spoken).

IT skills                                                                                

  • Proficiency in MS office and the ability to use software necessary for project management and reporting.

General Skills                                                   

  • V. Good technical reporting skills.
  • Strong planning, communications and coordination skills.
  • Ability to work under pressure and within a team.
  • Diplomacy, tact & negotiation skills.
  • Report writing skills.
