General Purpose of the position:
The procurement and administration officer provides projects with the required supplies and materials in order to ensure that they are implanted according to the action plan developed in the Project Proposal and ensures the smooth running of the office.
Main Responsibility of the Position
A. PROCUREMENT
1- Contacts
- Identifying, researching and evaluating vendors for quality and pricing.
- To contact and negotiate with suppliers.
- To provide the required number of quotations (as directed by Country Office) for each purchase for more than 500 USD.
- To help and support local Project Directors to purchase and to find suppliers.
2- Reception and delivery
- To ensure that supplies and goods are obtained at the best possible prices.
- To ensure and survey transportation for delivery goods.
- To ensure that the quality and quantities delivered, matches with the description field in the invoices.
3- Storage and warehouse
- To oversee the warehouse.
- To provide required human resources and logistics for the organization of the warehouse and the transport of goods.
- To ensure that goods are stored in good conditions.
4- Budget Management
To provide all the required invoices, vouchers, quotations and other documents for the Country Administrator.
5- Car Maintenance
To provide all the required supplies and goods to ensure car maintenance, as well invoices, vouchers, quotations and other documents for the Country Administrator related with service vehicles.
B. ADMINISTRATION
i. Management and Maintenance of the Office
The Administrator is responsible for all the physical aspects of the office, the scheduling of activities and assignment of spaces, ensuring a smooth running of the office and a good coordination of all activities:
a) Booking of flights and hotels whenever any staff member is traveling.
b) Arranging for office meetings (coffee and snacks).
c) Arranging for transportation.
ii. Management and updating of:
a) Fixed Assets and Inventory of the Centre.
b) Coordinates purchases and payments with the Project Accountant.
c) Maintenance of all equipment and furniture at the Centre.
d) Responsible for keys of the office and any other project keys.
iii. Staff Support:
Supports the Team in administrative and practical tasks: providing templates for administrative tasks, contact with providers, purchases and payments, ensures supplies of equipment and inputs, etc.
C. DRIVING
Picking a guest from the airport.
Traveling across Lebanon.
Visiting suppliers.
Delivering of purchases and/or money transfer.
Ensure prompt execution of other tasks which are within the ambit of a Procurement and Administration Officer which may be requested by the Country Director as needs occur.
Job Requirements:
He should have a driving license.
He should be willing to travel across Lebanon frequently (approximately 60% of the time).
He should be familiar with roads and directions.
Should be familiar with Excel and Word.
