Accountant and Administrative Assistant

A. Responsibilities

The Accountant and Administrative Assistant is responsible for

  • Carries out KAS accounting tasks independently
  • Assisting Director in financial planning, monitoring and accounting and ensuring that financial administration functions well in accordance with KAS standard procedures
  • Effectively coordinating with the staff of the finance team at KAS Head Office
  • Procuring goods/equipment for KAS office
  • Ensuring the presence at the KAS office and takes over temporarily duties at the reception
  • Assisting Director at local authorities (customs declaration, car registration etc)

 

 

The Accountant and Administrative Assistant performs the following tasks:

 

B. Tasks

       1. Financial services

       The Accountant and Administrative Assistant

  • Carries out accounting tasks using KAS accounting software
  • Is responsible for cash box
  • Assists Director in monitoring income, expenditure and the monthly bank reconciliation for office
  • Assists Director in monitoring real accounts (payables, receivables)
  • Follows up on inventory and updates existing lists
  • Checks the vouchers and receipts submitted by the projects/programmes for completeness and allocation to cost units and categories, and corrects these where necessary
  • Supports Director in preparation of monthly and annual budgets and monitors deviations
  • Calculates travel expenses
  • Reports all problems with financial administration and compliance without delay to superior

 

        2. Phone and reception services (temporarily)

       The Accountant and Administrative Assistant

  • Answers and accepts phone calls and messages and/or forwards them accordingly
  • Register, documents and organizes incoming and outgoing correspondence (fax, emails, packages and personally delivered messages) on need

 

        3. Office work and services

        The Accountant and Administrative Assistant

  • Supports Director in preparing necessary documents related to stay in country or travels (i.e. visa and residence permits, work permit etc.), especially official letters in Arabic
  • Procures materials and equipment locally, monitor markets, issues invitations to tender and processes orders in accordance with KAS regulations
  • Supports Director in preparing and submitting all necessary papers for duty-free import goods
  • Documents and files properly completed orders
  • Follows up KAS office library and keeps inventory lists updated
  • Sorts and distributes incoming correspondence (post, email, fax, other official documents)
  • Supports on need Director in travel arrangements such as booking tickets, flights, hotel reservations, transport etc.)

 

        4. Other duties/additional tasks

        The Accountant and Administrative Assistant

  • Prepares monthly payments for Social Security and Income tax related to all National Personnel NP
  • Follows up sales tax matters for projects and KAS-Office with the KAS auditor and the concerned ministries and institutions
  • Is responsible for filing in accordance with KAS rules
  • Performs other duties and tasks at the request of management

 

C. Required qualifications, competences and experience

       Qualifications

  • BA in accounting and auditing or similar area

       Professional experience

  • At least 5 years’ professional experience in a comparable position 

       Other knowledge, additional competences

  • In-depth knowledge of accounting software
  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
  • Confidential handling of data and information
  • Very good knowledge of Arabic and English, a knowledge of German is a plus
  • Willingness to up skill as required by the tasks to be performed – corresponding measures are agreed with management
