Project Assistant

The Project Assistant performs the following tasks:  A.     Responsibilities Supporting KAS staff in all logistical and administrative issues  related to implementing KAS projects and networking with partners and important stakeholders. B.     Tasks  1.      Assistance related to event management and office work Supports in event management, especially procuring services, materials  and equipment on request. Accompanies other KAS staff to events and supports them at the venue as needed. Supports in booking flights, tickets and hotel reservations as well  as transport. Prepares checking lists for workshops and events on request. Supports in follow up of logistic preparations for measures. Supports in planning and scheduling meetings and appointments. Supports in updating lists on request. Supports in filing properly. Supports in scanning documents. Supports in follow up on inventory (numbering, sorting out etc.). Performs other duties and tasks at the request of management.   2.      Phone and reception services Answers and accepts independently phone calls and messages and/or forwards them Update the official phone book of KAS. Registers, documents and organises incoming and outgoing correspondence (fax, emails, Packages and personally delivered messages). Sorts and distributes incoming correspondence (post, email, fax, and other official documents). Ensures that visitors are comfortable by offering newspapers, refreshments etc.   3.      Other functions Be willing and able to work after official working hours and on the week-end/holidays when  necessary; as long as the necessary free time according to law regulations  is granted. Work extra/overtime  hours as needed according to workload and meetings. Overtime hours will be  compensated by free time. Complete all other tasks as assigned.    C.     Required qualifications, competences and experience 1.    Qualifications Working experience in administration and/or program management Good organizational skills. Excellent knowledge of written and spoken Arabic and English or      German. Good computer skills (incl. Word and Excel in a Microsoft Windows environment). Ability to work in an  intercultural environment. Demonstrate  dependability and self-motivation. Maintain high level of personal integrity and reliability. 2.    Professional experience At least 1 year professional experience in a comparable position is desirable
