I. About LADE
LADE is a Lebanese non-profit and non-partisan organization advocating for election integrity and fair representation as two vital pillars for a functional democracy. Since its establishment in 1996, the Lebanese Association for Democratic Elections (LADE) has been heavily involved in instigating electoral reform on a national level through a set of well-designed interventions amongst which election monitoring constitutes a corner-stone for a viable parliament, where it features as a necessary tool to assess the electoral framework and propose amendments when needed. The association's early efforts reached paramount in 1998 with the implementation and management of a full-fledged campaign aiming at restoring local elections across Lebanon for the first time since the breakout of the Lebanese Civil War. Consequently, LADE’s role grew further and as a leading reformist organization. LADE’s awareness extended throughout the years to cover pre-elections, e-day and post-elections activities. Moreover, the association has been able, in a short period of time, to catch up with the academic and societal debates around media ethics and gender participation and has successfully developed a multifaceted and multidisciplinary approach to citizenship and electoral reform.
II. Job Purpose
The Project Coordinator will be responsible for coordinating the implementation of the EU grant and ensuring the compliance with the grant’s conditions.
III. Main Tasks
1. Coordination of Project Activities:
- Develop and maintain a detailed project work plan, ensuring all activities are on schedule.
- Coordinate daily operations of the project to ensure efficient implementation of all planned activities.
- Assist in the preparation and management of project budgets and resources.
2. Stakeholder Engagement:
- Identify and engage key stakeholders, including government bodies, civil society organizations, and international partners.
- Develop and maintain communication channels with stakeholders to ensure their continuous involvement in the project.
- Coordinate the preparation and dissemination of project updates, newsletters, and reports to stakeholders.
3. Organizing Conferences and Events:
- Plan and coordinate the logistics of conferences, workshops, seminars, and other related events.
- Secure venues, send out invitations, and coordinate event schedules, speakers, and materials.
- Ensure all events are delivered smoothly, efficiently, and within the allocated budget.
4. Writing Reports and Documentation:
- Draft and edit project reports, presentations, and other written materials.
- Maintain accurate records and documentation of project activities and meetings.
- Ensure timely submission of reports to project sponsors, donors, and other stakeholders.
5. Administrative Support:
- Assist with procurement processes, including managing contracts and vendor relations.
- Perform other administrative tasks as required by the project manager.
6. Communication and Invitations:
- Prepare and send invitations for events and meetings to stakeholders.
- Handle correspondence related to project activities and events.
- Ensure all communications are clear, professional, and timely.
IV. Qualifications and Experience
1. Education:
- A degree in Political Science, Public Administration, International Relations, Law, or a related field.
2. Experience:
- At least 3 years of experience in project coordination, preferably in the context of electoral reform, public administration, or governance.
- Proven record of accomplishment in organizing events, workshops, and conferences.
- Experience in writing reports, proposals, and other formal documentation.
- Familiarity with stakeholder engagement and communication strategies.
3. Skills:
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills in English and Arabic.
- Ability to work under pressure and manage multiple tasks simultaneously.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other project management tools.
- Knowledge of electoral reform and related governance issues is an advantage.
