Summary: to assume responsibility for the day to day management and administration of the Lebanese Red Cross Jounieh Branch and report to the head of branch.
Finance
Responsible for the day-to-day management of the branch accounting electronic system and finances allocated to the branch activities, programs & projects. Making routine payments, financial accounting, financial reporting and budgeting.
Responsible for the implementation and management of program financial activities.
Keep a record of all Purchase Orders.
Ensure compliancy to branch’s Finance Rules and Regulations, as well as, to internal control procedures for all financial activities and transactions.
Maintenance of general accounts and office financial control records, including cash flow statements.
As the focal point for the preparation of budgets the Administrator shall advise and assist the treasurer and accountant in budget preparations and revisions.
Proper planning, expenditure tracking and audit of financial resources, in accordance with the branch’s financial regulations and rules.
Responsible for the closure of monthly reports.
Administration
Day to day management of personnel and administration to support the branch. This includes personnel contracts, administering salaries and allowances, leave, travel, welfare, documents reproduction and filing. Specific activities will include.
Develop and implement administration systems, personnel management systems and office management systems for the branch.
Maintain a reference filing system for hard copy registry and electronic filing on the branch server.
As the branch Leave Monitor, prepare periodic Leave Plan, and attendance sheets for branch staff and maintain leave records of all staff.
Prepare all paper work pertaining to official travels.
Prepare all branch correspondences, minutes of meetings, emails, official letters, invitation cards…
Logistics
Responsible for the procurement, storage, accounting and maintenance of equipment and material to support the branch’s operations.
Responsible for the control and maintenance of facilities controlled or used by the branch, which would include office facilities, warehouses, building, vehicles, and specific activities will include to.
Follow up procurement system and procedures for equipment, supplies and services to support the branch’s activities in accordance with LRC procurement regulations & procedures.
