Essential Responsibilities and Duties
- Follow-up on reporting deadlines, and other required information as necessary, as well as, provide timely and credible reports for concerned internal and external stakeholders regarding the achievements of the Disaster Management Unit.
- Improve reporting systems with the support of the Assistant Director for PMER with standard procedures and process to ensure credible, reliable, and timely reporting.
- Provide training for staff, volunteers, as necessary on project/program reporting fundamentals, skills and tools.
- Monitor and review reliable sources of secondary information, in order to provide reports that are more accurate
Reporting:
- Report on the numbers and analysis provided by the M&E officer through the ITT tracking table
- Ensure that the reporting tracking table is up-to-date, and includes all the deadlines and other required information, to be provided by the Disaster Management Unit.
- To be responsible for posting all projects and plans based reports
- Submit internal, accurate, and timely reports to related staff within the Lebanese Red Cross with the overview of the Assistant Director for PMER. The reports will not be limited to monthly activities, but will be submitted quarterly, yearly, according to the need.
- Create and submit monthly dashboards related to program specific achievements, as well as, Disaster Management Unit accomplishments. The dashboards should not limited to monthly activities, but should be designed for quarter, mid-term, and end-of year reports.
- Oversee the quality of external reporting specific to online reporting databases. Ensure a timely and accurate reporting system is set in place and disseminated in coordination with the program/project managers. It will include coordination and follow-up with the program staff dedicated to online reporting.
- Support program teams, as needed, with the adaption of specific reporting tools for consistent and quality reporting, coherent with the reporting guidelines agreed on by the DMU PMER team.
- Provide support for the design, adaptation, and implementation of internal / external monthly reports, mid-term reports, and final reports when needed.
- Undertake occasional field visits to DMU branches to monitor the capacity of the reporting officers at branch level, as well as to support branches with reporting tools and skills.
- Develop and manage a filing system for the important reports; everything related to reporting such as monthly report, donor reports, etc.
- Follow-up and consolidate monthly numbers from the operations
- Reporting of achievements on general DMU activities or collated activities to be disseminated and sent out
Research and monitoring:
- Establish an inventory of external and internal reviews related to reliable sources of information, mainly regarding data related to the situation and background updates within the MENA region, and Lebanon. The data collection should be in coordination with the M&E officer within the PMER team.
- Create and organize a database (Excel, Google Earth, etc.) that will reflect program/project specific targeted areas of the Disaster Management Unit, as well as the numbers of beneficiaries in each of the DMU target areas. It may include coordination with the M&E officer, program staff, and local branches.
- Attend meetings with UN and other organizations in order to be obtain updates related to the online reporting databases, and communicate them with the related Lebanese Red Cross staff.
Recommend and prioritize trainings that will benefit the Disaster Management Unit staff in regarding to reporting.
