 Key Responsibilities

  • Assist the Finance Manager in preparing financial reports and related documentation.
  • Prepare and process salary payments for project staff and ensure timesheets are accurately completed and submitted on time.
  • Prepare payment vouchers for all project-related expenses, including activity and operational costs, ensuring the use of proper cash and check logs.
  • Verify that all payment transactions are supported by complete, accurate, and properly approved documentation before processing.
  • Prepare payment vouchers for all asset-related expenses, maintaining proper records in accordance with financial procedures.
  • Monitor project budgets and expenditures to ensure spending aligns with approved plans and donor regulations.
  • Support project teams in developing budgets, budget revisions, and financial forecasts.
  • Review financial reports and supporting documentation for completeness, accuracy, and compliance.
  • Assist in donor audits by preparing project financial files, responding to queries, and providing necessary documentation.
  • Support project closure processes, including final reconciliations, reporting, and documentation archiving.
  • Assist in the preparation of project budgets by providing accurate financial data and cost estimates.
  • Track project advances and ensure timely liquidation and follow-up with staff or partners.
  • Coordinate with procurement and logistics staff to ensure proper documentation and coding of project-related purchases.

 

Required Qualifications & Experience

  • Diploma or Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • At least 3 years of experience in financial administration, cash handling, or accounting.
  • Prior experience working with an NGO is required.
  • Strong knowledge of financial procedures, document verification, and reconciliations.
  • High attention to detail and accuracy.
  • Strong organizational and communication skills.
  • Ability to work under pressure and meet deadlines.
  • Ability to handle confidential financial data responsibly.
