Administrative Coordinator
I. INTRODUCTION
Project Background Information
The Lebanon Reforestation Initiative (LRI) is a project funded by the United States Agency for International Development (USAID) and implemented by the United States Forest Service (USFS) that provides technical assistance and institutional support for sustainable native tree reforestation and wildfire management in support of community stability and social cohesion. With administrative offices in Beirut, LRI technical experts manage a multi-year work program of activities throughout Lebanon in collaboration with grassroots organizations and local communities.
The Administrative Coordinator
The Administrative Coordinator is tasked to set up and maintain a local administration structure for the Lebanon Reforestation Initiative. The tasks include support to all staff members of Lebanon Reforestation Initiative in daily administrative, procurement and logistics procedures as well as HR related matters. The Administrative Coordinator needs to acquire a good understanding of the Lebanon Reforestation Initiative Office in Lebanon, its key personnel and the organizations aims and objectives and apply Lebanon Reforestation Initiative and USAID policies and procedures.
II. PURPOSE OF THE JOB
LRI seeks a full-time Administrative Coordinator to conduct the following duties
1. Administration
• Coordinate and support the preparation, update and implementation of the organizational policies and procedures;
• Ensure that the organization meets all legislative requirements in Lebanon and ensure compliance;
• Supervise general office task and procedures to ensure secure office operation and management;
• Establish and maintain general filing system for the Office;
2. Logistics and Procurement
• Procurement of project-related services and equipments following USAID procurement regulations
• Maintain register for office equipment and property/facility management;
• Procurement of office equipment, monthly office consumables, stationery and other items as well as arrangement for repair and maintenance of office equipment, ensure responsible use of all service tools (laptop, mobile-phone, office equipment);
• Travel and logistics arrangements for local staff;
• Provide logistic support during staff movements and field visits;
3. Human Resources
• Coordinate and support the preparation, update and implementation of the organizational staff policies and procedures and ensure staff compliance with all organizational policies and procedures;
• Support the Project Director in organizing annual staff appraisals.
• Support staff orientation and conduct staff development as well as other administrative duties to ensure an optimal work performance;
• Administer time sheets, leave and overtime balance.
IV. REQUIREMENTS
The Administrative Coordinator should possess the following competencies, skills, and experience:
• Degree in business administration, management, HR or similar fields
• At least 2-3 years of experience in HR and procurement, preferable of USAID projects;
• Previous experience working with NGOs;
• High organizational skills
• High proficiency in Office Package (Word, Excel, PowerPoint, Internet and Email);
• Cultural-sensitivity and strong inter-personal and communication skills;
• Ability to cope with stress and to work independently under difficult circumstances and with minimal supervision;
• A positive and strong problem-solving approach;
• Excellent written and spoken English and Arabic are required,
• Flexibility and readiness to take on additional tasks.
