Finance
- Prepare and review Project financial documents for accuracy and send end-of-month financial reports to HQ Finance team.
- Scan all hard copy documents and send to HQ for review each month.
- Maintain all project financial records and prepare transfer requests.
- Monitor project expenses according to LWR’s field office budget.
- Prepare documentation and payments for payroll.
- Manage disbursement of Project petty cash, in consultation with the COP.
- Serve as liaison with Country staff to ensure all project expenses are included in LWR’s overall project accounting.
Administrative / Human Resources / Logistics
- Responsible for assisting the project staff with all aspects of travel planning and logistics for flights as directed by the Program Director.
- Meet with vendors to seek quotes and view merchandise quality needed for project procurement and purchases orders in accordance with donor and LWR regulations.
- Maintain database of suppliers frequently used by project;
- Maintain and update project contact list for donors, Partners and project staff.
- Prepare Purchase Orders for project as needed following approval by the Program Director.
- Type letters and memorandums for project business and office needs.
- Scan, file and translate key project documents as requested by the Program Director.
- Maintain all Project HR files in accordance with LWR HQ HR policies and donor protocols.
- Maintain adequate office supplies for the project office at all times.
- Manage the project inventory tracking and equipment issuance, per donor protocols.
- Take and prepare meeting minutes and circulate to relevant personnel.
- Maintain project program files in an organized and confidential manner as directed by the Program Director.
- Other duties as assigned.
Qualifications
- Typically requires a bachelor’s degree and a minimum of 2 to 3 years of experience inadministrative, financial, or human resources roles.
- Experience working with USG donors or other international development organizations.
- Bachelor’s degree in administration and/or finance from an accredited university/institution.
- Verbal and written fluency in English and at least one local language required.
- Computer literate with significant experience in Excel and Word; PowerPoint knowledge highly desired. Knowledge of QuickBooks or other accounting software strongly preferred.
