Program Manager Assistant

Duties & Responsibilities: 

  • Ensure an efficient coordination among partners and other components of the project
  • Support team in implementation of the project’s activities
  • Set the project’s work plan with the program manager
  • Ensure that the project’s work plan is followed efficiently and effectively
  • Understand and appropriately implement donor guidelines and procedures regarding reporting requirements, and stay informed of any new official guidelines and procedures
  • Follow-up on project expenses and coordinating with the Program Manager
  • Conduct regular meetings with the Program Manager
  • Provide strategic advice and ensure appropriate coordination between the project team members
  • Ensure project outputs and outcomes are achieved in a timely and efficient manner
  • Ensure project budget is spent in a timely and efficient manner
  • Directly line manage the logistics officer, admin and cashier officer, and nutrition officer
  • Prepare for monthly team meetings, getting project updates, addressing feedback, and adjusting the project based on beneficiary feedback where necessary
  • Prepare communication materials as needed with the review of the PM
  • Provide timely and detailed reporting of project activities to the PM
  • Ensure that all aspects of the project’s daily management are met, including logistics, administration, security, visibility, community and beneficiaries liaison, evidence generation, coordination and risk management
  • Ensure that all lessons learned, risks and innovation are well documented and shared internally in the area team and/or other relevant colleagues
  • Build good working relationships and trust with the stakeholders in the targeted communities
  • Build trust with the targeted community members
  • Perform other requested duties by the program manager as required

 

Skills & Qualifications

  • Masters degree in (Social sciences, Business management, engineering, or any relevant field)
  • At least 5 years experience in assisting humanitarian projects
  • Proven experience in logistics and large scale distributions
  • Proven track record in high quality human resource management
  • Proven experience working in partnership with other independent CSOs or NGOs
  • Fluency in Arabic and English, both written and spoken
  • Team player with strong interpersonal skills, with the ability to build strong internal relationships and networks with the youth
  • Strong interpersonal and communication skills
  • Ability to work in cultural and religious sensitive contexts
  • Ability to operate in marginalized communities
  • Ability to work independently and collaboratively with programme and technical teams
  • Ability to work and manage deliverables on a strict deadline
  • Experience working in the Humanitarian Field
  • Strong management skills (Programming and Financial)
  • Computer literacy, including knowledge of Microsoft Office suites
  • Adaptable
  • Good Communication Skills
  • Team oriented
