Administrative Assistant

Those working for this independent organisation do not solely dispense care and treatment but condemn violations of human dignity and rights and fight to improve matters for populations living in precarious situations. MdM currently works in 46 countries across all continents where it focuses on 4 priority areas: caring for the health of migrants and displaced persons, promoting sexual and reproductive health, combating HIV and reducing the harm and risks associated with drug use, crises and conflicts.     Under the supervision of the Logistic and Administrative Coordinator, the administrative assistant will support in the administrative preparation and follow-up of the Health Access Survey. Detailed activities Administration - Preparation of all the administrative documents (contracts) necessary for the health access survey. - Prepare administrative kits, assets/material form (in liaison with the logistic officer) for the interviewers and team leaders, as per check list provided, and proceed to distribution.   - Prepare lists of attendance for the trainings. - Ensure the material is given back at the end of the survey. - Administrative focal point for the Health Access Survey Team.  Finance - Each Friday, collect receipts from team leaders corresponding to cash payments; check the validity of the receipts as per MDM policies, before handing it over to the administrator.  -  Maintain an up to date statement of cash expenses, and transfer it to the Logistic and administrative coordinator each Friday. - Prepare vouchers payments for Health Access Survey team and coordinate with the administrator for the payments. Requested Competence/Skills/Profile Strong computer skills in MS Office programs Accuracy and attention to detail is compulsory Excellent oral and written English skills Quick learner. Experience in NGO will be valued. Ability to act as part of a multi-cultural and multi-disciplinary team Flexibility, adaptability, and patience Please not that we are proposing a service contract. Starting date flexible between end of February and 15th of March.
