Logistic Officer for supply and stock

                     Main responsibilities and activities of the logistic officer can change according to the organization of the work and to the composition of the team.

                         

 

 

 

  1. Supply

 

    • Collect quotations and interact with Vendors (explain MDM formats) and ensure that vendors will use the provided forms.
    • Responsible for all the purchases of amount <5000 euro.
    • Follows MDM procurement guideline, and the donor procurements rules.
    • Conducts market research, identifies and recommends potential local suppliers.  Maintains commodity files and Evaluates local supply sources' overall performance, (competitive pricing, product quality and timely delivery).  Assesses supply administration and control mechanisms, and advises on appropriate actions.
    • Update the price list regularly by contacting suppliers
    • Supervise the purchaser on completing his tasks.
    • Consolidate the procurement in the monthly tracking and send it to the log manager.
    • Update the contract follow up.
    • Ensure the Archiving of the purchase file hardcopy properly archived, and upload it in the share point. <5000 euro
    • Translate receipts/invoices written from Arabic into English.
    • Ensure the delivery of all purchased items to the requester, collects the proof of delivery and proceeds to the validation of the invoices by the budget holder.
    • Compose and archive purchase folders.
    • Identifies training needs for the purchaser to improve his skills in his related assigned tasks

 

 

  1. Management of the logistic stock
  • Update the follow-up of the logistic stocks (stationeries and consumables, visibility items, cleaning products, tea break, PPE, etc).
  • Monitor and submit a monthly report of consumption of the logistic stocks.
  • Prepare based on the consumption the monthly mission order for stationeries and cleaning products.
  • Ensure the reception processes are respected before updating the follow-up of the logistic stock.
  1. Premises management
  • Ensure the good management of the premises in the mission (offices and Guesthouse).
  • Ensure the maintenance of the premises, according to the lease contract, if needed.
  1. Security
  • Observe and follow up the situation and share inf with Log Manager.

Requested Competence/Skills/Profile

 

  • University degree BA in business and administration, management, or technical diploma.
  • 1 to 2 years of experience.
  • Ability to work simultaneously on multiple tasks
  • Experience in supervising a small team.
  • Experience in managing planning.
  • Willingness and ability to work effectively with a wide variety of people
  • Ability to work as part of a team and coordinate with project personnel
  • Good spoken and written English
  • Strong organizational skills
  • Good computer skills on MS Office programs, especially in MS Excel
  • Capable to multi-task and process information into action without any delays in the program activities
  • Clear understanding of donor compliance is essential
