Supply Supervisor

Provide information to the Line Manager on timelines regarding administrative procedures concerning import, customs clearance, etc, giving advice on the most appropriate means of transport and suggesting any measures necessary for improving the system according to the local particularities. This requires a good, updated knowledge of national and international legal import-related issues and transport sector. Maintain regular contact with suppliers (local and international) and service providers, transportation agencies, and other MSF sections, updating the list of existing ones and seeking new ones to supply the best product at the best price. Perform and coordinate administrative procedures related to purchases and purchase orders, verifying the compliance of MSF standards and protocols: -            Application and verification of invoices. -            Update prices, asking for quotations and bids to tenders. -            Control the purchasing procedures. -            Cost control, quality control. -            Check the physical state of orders. -            Ensure sufficient stock for the effective functioning of the mission activity: Periodically check stock levels (physical count), keep track of deliveries, movement of goods, keep informed on price fluctuations, shortages of certain goods. Determine the quantities of product to buy (volume), taking into account the demand and needs of the mission, availability forecasts, delivery timelines, budget and other relevant factors, in conjunction with the line manager. Supervise, in close coordination with the HR department, the associated processes (recruitment, training/induction, evaluation, potential detection, development and communication) of the staff under his/her responsibility in order to ensure both the sizing and the amount of knowledge required
