Pharmacy Supervisor - Beirut - 100%

Scope of responsibility:

Ensuring general functioning of the pharmacy and supervising pharmacy supply chain processes in accordance with MSF standards, protocols, and procedures, in order to ensure its efficiency and operating availability.

 

Function responsibilities include:

Ensuring storage, stock management and supply processes, as well as hygiene and security procedures, tools, and protocols (controlling pests and rodents), implementing appropriate quality controls and records, in order to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according to MSF protocols, national regulations and in cooperation with the logistics department.

Coordinating the delivery, reception and recording of international and local orders, in close coordination with the logistics department, updating stock files and informing line managers on their status (shortfalls, over-stocking, expiry dates), in order to permanently ensure security stock levels and ensure efficient management of stock.

Supervising orders of medical and drug material in order to ensure an efficient and appropriate consumption pattern under budget constraints.

Supervising the supply of drugs to patients, according to medical prescriptions, informing them on consumption patterns and keeping conditions in order to ensure their therapeutic progression.

Ensuring efficient supply to other pharmacies managed/supported by MSF according to orders and stocks and using cold chain when needed. Monitoring and analyzing orders of depending on pharmacies in order to avoid ruptures of stock or having expired drugs.

Supervising, with the HR department, the associated processes (sizing, staff shifts, recruitment, training, performance evaluation, development, and internal/external communication) of the pharmaceutical team and the nursing staff, in order to ensure both the sizing and the amount of knowledge required and to improve their dispensing capabilities.

Recording all items received and issued in computer (Isystock) and reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, in order to rationalize the budget and to ensure availability.

Assisting in training of nursing staff regarding dispensing of drugs and their side effects

Specific Accountabilities

Supervising dispensing of drugs to the patients to ensure that dispensing is done according to the medical prescription, that patients receive clear instructions and advice on how to use medications, and that all drugs dispensed are recorded.

Recording all stock movements regularly in the stock cards and Isystock. Sharing the backup Isystock with the pharmacy manager and the project medical referent every week.

Analyzing drugs’ consumption of each unit (NCD, SRH, Pediatry, Mental Health) and proposing alternatives to avoid ruptures and expiration of drugs. Discussing solutions on pre-expired, overstock, and sleeping stock with the Mission pharmacy manager and project medical referent to use medicines efficiently and avoid ruptures and expiration of drugs.

Performing the inventory every month and sharing all discrepancies found with the Mission pharmacy manager and Project medical referent.

Placing the order every month following the pharmacy activities chronogram.

Supervising the monitoring process of cold chain items, ensuring that temperatures are checked and recorded in the monitoring sheet. Performing cold chain inventory every week and placing the cold chain order on a weekly basis.

Sharing a monthly pharmacy report on time with the mission pharmacy manager and project medical referent, and sharing Isystock backup regularly as per the pharmacy manager plan.

Following all suggestions and feedback provided by technical and line managers.

 

Requirements

Education         

Essential: Bachelor’s in pharmacy management from a recognized university.

Essential: Registration in the Lebanese Order of Pharmacist 

Essential: License of Pharmacy Practice

Experience          

Essential: At least 1-year certified work experience as pharmacy supervisor.

Desirable: Previous experience working with local or international NGO in pharmacy related roles 

Languages        

Essential: Full professional proficiency using the English and Arabic language.

Desirable: Elementary to limited proficiency using the French language.

Knowledge       

Essential: Intermediate to advanced knowledge of Microsoft Office Word, Excel, and Outlook.
