Administrative Officer

PROGRAM/DEPARTMENT SUMMARY: The Operations team is committed to implemented and maintaining the highest standards of efficiency and integrity in the purchase of goods and services, handling logistics and implementing administration procedures for Mercy Corps in Lebanon. The overriding objective for all Mercy Corps operations activity is the prompt and effective provision of materials and services in compliance with donor specifications. GENERAL POSITION SUMMARY: The Administrative Officer will oversee multiple administrative functions in the Beirut office. ESSENTIAL JOB FUNCTIONS: Ensure all rented properties have a valid lease agreement. Preparation of all lease agreements; setting up apartment viewing arrangements as necessary with real estate agents; update of MC Lebanon Lease Matrix Process property bills for Ex-Pats Ensuring monthly office related on-going payments are processed, to include but not limited to: phone bills, office maintenance bills, leases, hotel payments generator subscriptions in various sub-offices. Creation of Business Cards and ID Cards for Mercy Corps staff Assignment of Phones & Tracking of Numbers for all Mercy Corps Staff Maintaining Long Term Service Contractor (Service Agreement) database, creating service agreements as needed. Ensuring LT Service Agreement payments are processed in a timely fashion Key Management for Beirut Office Other office tasks (i.e. making copies, etc.) as assigned Conduct himself/herself both professionally and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian mission. Other duties as assigned. KNOWLEDGE AND EXPERIENCE: Preferably a degree holder in a relevant field. 2 years experience in administrative functions. Strong organizational and communication skills, ability to multi-task, ability to use MS office.
