PROGRAM/DEPARTMENT SUMMARY:
One Support Systems Administrator will be based in Beirut to support the development of CP operational, financial monitoring, administrative, logistical and other support systems necessary to ensure streamlined and efficient functioning of CP operations including organizational development support to SDCs and local partners to track progress in accordance with Local Action Plans and select Activity Info indicators, respectively.
GENERAL POSITION SUMMARY:
The Support System Administrator is responsible for overseeing procurement aspects of Mercy Corps’ logistic operation. Working closely with Program, Administration, Finance and Logistics the Procurement Officer is instrumental in supporting program activities through his/her services.
ESSENTIAL JOB FUNCTIONS:
Conduct Regular follow up with centers and assess Procurement and other needs for the protection program
Support in data entry / Filing or any related task to M&E
Attend monthly and weekly meeting of the CP team and prepare minutes of meeting
Work Closely with the procurement team to understand MC Procurement Principles and follow up on the purchase request and tracking the monthly costs
Has a full understanding of MC procurement policies and administration. Assists, as needed in training staff on these policies;
Assist Program Manager and Assistant program manager in administration and Operation/Finance Requests that is needed for the project.
Coordinate with Filed Team on the monthly needs for each area mainly for training and workshops in the CBOs and /or SDCs centers
Support the CBOs & SDCs to build systems and develop their capacities.
Support and create the necessary systems for all the needs of Child Program, procurement and filing.
Update the store list of each partner in the 8 areas of the project and do field visit to the centers.
Support the Assistant program manage in preparing Purchase requests form.
Translation documents if needed from English to Arabic
Any other tasks required
SUPERVISORY RESPONSIBILITY: None
ACCOUNTABILITY : Accountable for following Mercy Corps Field Procurement Manual, the MC Code of conduct regarding procurement activities and MC Conflict of Interest policy.
REPORTS DIRECTLY TO: Programme Manager
KNOWLEDGE AND EXPERIENCE:
Degree in a relevant business field is desired. 3-5 years of experience in large scale in experience in creating system; Strong organizational skills; ability to interact effectively with international and national personnel. Excellent oral and written English skills
High computer skills on MS Office programs, especially in MS Excel
Demonstrate and the ability to multi-task and process information into action as to not delay program activities.
