The Finance Coordinator reports to the Finance Manager and serves as a key member of the Finance Team within the Support Services function at MAG Lebanon. This position is responsible for overseeing the day-to-day financial operations and ensuring the implementation of robust internal controls across the Lebanon programme. The Finance Coordinator supports the full financial management cycle, ensuring strict adherence to MAG’s financial policies, donor requirements, and audit standards. In addition, the role ensures the timely processing of programme and operational cashbooks, verifying that all supporting documentation complies with MAG’s quality and compliance standards.
Principal Responsibilities
- Responsible for posting the cashbooks after the review of the finance manager of Lebanon programme on monthly basis.
- Responsible for journal (Prepayment) and payroll cashbook.
- Responsible for keeping track to ensure the minimum balance of cash and bank accounts are updated as per the latest country’s memo.
- Maintain effective control over cash book and bank and ensure that cash in hand reconciles with what is registered in cash books.
- Manage the SDDs for international staff in updating HQ payroll team on monthly basis and reimbursing them in country.
- Responsible for preparing the monthly grant spending reports (Budget vs. Actuals - BvAs) of assigned projects and submission for FM , represent the BvA meeting in absence of CFM along analysis for the SMT , including administrative/operational projections; work with Finance and operations team to ensure project projections are updated; together with logistics teams review BvAs and procurement expenditures and forecasts to ensure projects implementation are on time and within targets and budgets.
- Responsible for preparing all personnel cost documentation required for audits, ensuring full compliance with MAG’s internal financial procedures and donor audit requirements.
- Assist in the preparation of the forecast for grant and quarterly reforecast exercises with HQ in Adaptive insights
- Assist in payroll verification in the absence of Finance Manager
- Responsible for Payroll cashbook
- Assist the CFM on the monthly balance sheet and make sure that all accounts are reconciled with accounting software (PSF).
- Responsible for cash in the office (safe & cash holder).
- Assist the CFM by reviewing the monthly NSSF reports and payment along with the quarterly Tax report declarations
- Act in the role of the Finance Manager when needed, ensuring continuity of financial operations, oversight of financial reporting, and adherence to MAG’s financial policies and procedures.
- Responsible for the preparation of allocation cashbook of 89 LB pool accounts as per agreed allocation table in country.
- Responsible for the review of local partner advance requests and expense/financial reports and provide feedback to CFM
- Participating in the absence of CFM in procurement tender committee meetings and representing finance team
- Responsible Fuel Cost share allocation upon liaison with Fleet responsible staff.
Essential Requirements
- Bachelor’s degree in accounting, Finance, Business Administration, or a related field.
- Minimum of 5 years of relevant experience in accounting, financial reporting, or grant management, preferably within an INGO or donor-funded organization.
- A certification in financial management or grant accounting is an asset.
- High level of accuracy, attention to detail, and strong organizational skills.
- Ability to manage multiple priorities and meet strict deadlines under pressure.
- Strong knowledge of accounting principles, financial systems, and reconciliations.
- Experience with audit preparation and donor compliance.
- Good understanding of Lebanese labor laws, NSSF contributions, and tax declaration processes with familiarity with reporting to relevant authorities is a preferable asset.
- Experience in budgeting, payroll, and cost allocation.
- Strong interpersonal and communication skills; able to collaborate effectively with non-finance colleagues.
- Demonstrated integrity, discretion, and commitment to confidentiality.
- Flexible and adaptable, with the ability to act in the role of the Finance Manager when required.
- Fluency in Arabic and English (written and spoken).
- Proficient in Microsoft Excel and other MS Office applications.
