Finance Manager

Principal Responsibilities

Ensure fulfilment of financial obligations (e.g. suppliers, tax, service providers) and statutory reporting duties in compliance with operational targets, contractual arrangements and legislation.

Supervise and guarantee the respect of corporate financial accounting policies and guidelines.

Review and supervise departmental accounting tools and metrics.

Ensure that all books of accounts are up to date and that support documents, including computer

Generated spreadsheets for all the financial transactions are kept in systematic order and in safe and secured conditions.

Provide to MAG HQ full, accurate and timely financial reports, including individual donor reports, for all expenditures made by the MAG country program.

Ensure that the MAG country program meets all its contractual obligations relating to financial expenditures and reporting.

Ensure that no expenditure is incurred that is not covered by existing grants.

Ensure that policies and procedures are in place to secure the country program’s finances.

Maintain accurate and effective financial controls on all the transactions effected within the Program.

Provide through the HoSS monthly grant reports to MAG Head of Operations and Head of Finance.

Provide monthly financial reports to MAG HQ Finance Department.

Assist and support the HoSS in ensuring that field expenditures meet contractual donor requirements and remain within approved plans and budgets.

Provide to the HoSS full supporting information for transfer requests to be sent to MAG HQ.

Ensure that all staff salaries are made in accordance with the up to date nominal roll provided by the HoSS on a monthly basis and that payments are clearly recorded and signed for by each member of staff.

Support the HoSS in his/her responsibility for grant management and correct allocation of expenditures according to donor contractual obligations and MAG policies and procedures.

Support the HoSS as requested in the preparation of the annual business plans, annual budget and individual donor proposal budgets.

Ensure the effective and efficient working of all budgetary, accounting, reporting and internal control systems.

Facilitate and provide support to all donor and internal audits in co-ordination with HoSS/Head of Operations/Finance Director.

Work with the HoSS to provide accurate breakdown of monthly funding requirements to MAG HQ.

Supervise and provide training and development to national staff in line with MAG’s financial and administrative requirements.

Set an updated funding plan to show clear vision of the program funds.

Maintain a good grant managing.

Due to the senior nature of the position, a degree of flexibility is essential. Some overtime work will be required, and duties may need to be performed which are additional to those listed above.

Cash Flow Management

Prepare cash flow forecasts on a monthly basis for the Office in close cooperation with the HoSS and TOM.

Ensure that sufficient funds are available in the safe to allow operations to run in a smooth and efficient manner.

Exchange currency as required.

Maintain effective control over cash and bank, and ensure that cash in hand and bank reconcile with the accounting record.

Ensure that all income received by the country program is properly receipted and immediately recorded.

Emergency Response

Respond when needed if accidents happen.

Liaise with insurance company whenever needed in coordination with HR and Admin Manager.

Prepare updated staff record for insurance in order to calculate our monthly rate per category.

Follow up all cases to provide the needed treatment for all injuries in coordination with HR and Admin Manager.

Make sure all compensations are paid and recorded due to MAG's policy.

Undertake any other duties appropriate to the post as may be required.

Aware of gender mainstreaming and ready to participate in gender awareness courses/training

Able to work in a mixed team

Responsible for his/her own continuing training to develop his/her skills
