Logistic and Procurement Assistant

Principal Responsibilities

  1. Make follow-up of orders and present the situation to the Procurement Officer
  2. Ensure active monitoring of the purchasing process including overseeing local customs clearance of imports, until delivery of the goods and the official handover of items against signature of receipt.
  3. Assist in the maintenance of a supplier database and develop robust local supplier relationships.
  4. Ensure that procured stocks are received, registered, and dispatched in an efficient and accountable manner.
  5. Ensure the maintenance of MAG office and expatriates houses (electricity, plumbing, etc..)
  6. Signing delivery notes upon receipt of shipments.
  7. Heeding notes about appropriate procedures for handling stock, particularly when fragile.
  8. Unpacking items and arranging them on shelves whenever needed
  9. Helping other staff in the department during lulls in your day.
  10. Perform inventory controls and keep quality standards high for audits
  11. Monitors and maintains current inventory levels; processes purchasing orders as required; tracks orders and investigates problems.
  12. Records purchases, maintains database, performs physical count of inventory, and reconciles actual stock count to computer-generated reports.

GENERAL

All MAG staff is expected to undertake the following general duties:

  • Work towards achieving departmental business plan objectives.

  • Work as part of a team and liaise with other departments to ensure effective communications across the organization.
  • Ensure familiarity with and adhere to all MAG policies and procedures and safeguarding framework.
  • Ensure confidentiality of information as required by MAG policies and procedures.
  • Undertake any other duties appropriate to the post as may be required.
  • Aware of gender mainstreaming and ready to participate in gender awareness courses/training
  • Able to work in a mixed team
