Objectives:
- With a primary responsibility of supporting the executive director, provide support to the executive team as directed to ensure that NGO’s goals and objectives are accomplished, and operations run efficiently
- Managing an extremely active calendar of appointments, and ensures the executive director's schedule is followed and respected.
- Communicates directly, and on behalf of the executive director, with staff, and others, on matters related to the executive director's initiatives. Provides a bridge for smooth communication between the executive director's office and internal departments. Works closely and effectively with the executive director.
- Keeping the executive director well informed of upcoming commitments and responsibilities, following up appropriately.
- Reporting directly to the executive director. The executive assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the office of the executive director.
- Prepare and maintain in a well-organized manner comprehensive files for each project.
- Maintain organized and protected database and beneficiary data
Organize and maintain the office filing system
Qualifications:
- Good organizational skills (ability to develop workplans, organize their work, prioritize tasks, basic understanding of project quality and spending).
- Proven analytical skills with proven skills in drafting and preparing reports
- Experience of balancing time between multiple projects and responsibilities
- Assist in the follow up of projects’ activities to achieve projects’ deliverables
- At least 8-year experience in administrative or managerial role reporting directly to upper management
- Ability to complete tasks on time.
- Strong interpersonal and communication skills required.
- Fluency in English, and Arabic are minimum requirements. Knowledge of French is highly desirable
- Ability to give and receive feedback constructively
- Capable of working both individually and as part of a team.
- Maintain confidentiality of information, collaborative relationship with clients, partners and health professionals.
- Perform any related duties that may be assigned by the supervisor.
Skills/Experience Required:
- Excellent oral and written skills in English and Arabic (French is a plus)
- Excellent communication skills and a pleasant personality.
- The ability to work in a systematic and organized manner.
- Knowledge of MS Office and e-mail skills.
- The ability to priorities competing demands and pays attention to details.
- Ready to work under pressure
