Responsibilities
Store Management (excel sheets)
- Prepare annual and updated monthly stock balance and inventory report then hand it to the line manager.
- Prepare goods received notes (GRN) when entering new goods into the store and provide it to the line manager
- Organize purchased items inside the store according to categories and shelves numbers.
- Receive Goods requests from staff on weekly basis and seeks approval of operations or program manager prior to issuance of the goods.
- Prepare Goods Issuance Notes (GIN) based on the approved goods requests and make sure that they are signed by recipients.
- Check and forecast regularly any store needs and avoids to have a zero stock balance for frequently used items and reports that for the line manager to prepare a monthly procurement plan in order to prepare the relevant purchase requests accordingly
- Responsible for ensuring clean, proper & secured offices, fire safety equipment, and drills.
- Responsible for miscellaneous office maintenance either inside or outside the main office.
- Print out monthly vehicles maintenance
- Assist in maintaining physical and electronic fleet management data filing and backup
- Perform other duties as assigned by Line Manager.
Fleet Assistance
- Handles vehicles service requests to make sure that the fleet is checked and maintained regularly and provide them to Logistics
- Be in attendance at office generator when refueling
- Makes sure of the quality of service provided by ensuring using genuine spare parts for NPA vehicles.
- Keep updated vehicles related documents (ID, etc.)
- Follow up on fleet mandatory and all risks insurance and make sure that the vehicles insurance policies are always updated.
- Follow up on accidents and make sure all vehicles are fixed on time.
- Supports the HD Logistics Officer by handling vehicles service requests to make sure that the fleet is checked and maintained regularly by processing the approved requests to the suitable mechanic's technician (NPA preferred supplier).
- Collect monthly vehicles log books and maintenance check-up from driver to provide to logistics assistant
- Be in attendance at the station when refueling the vehicles
- Follow-up with vehicles maintenance technicians when fixing the vehicle
- Make sure that all vehicles maintenance requests are finalized
- Perform other duties as assigned by Line Manager.
