HR Officer

Detailed Job Description

Contract Management: Prepare, review, and update employment contracts and ensure they are properly filed and maintained.

CV Screening: Assist with the recruitment process by posting jobs, screening CVs, shortlisting candidates, and scheduling interviews with hiring managers.

Onboarding: Facilitate the onboarding process for new hires, including preparing orientation schedules, introducing them to organizational policies, and setting up necessary paperwork.

Documentation: Maintain and update employee files, ensuring that all HR records, such as contracts, leave applications, performance appraisals, and personal documents, are accurate, organized, and secure.

Compliance: Ensure all employee documentation complies with organizational policies, local labor laws, and NGO standards.

HR Data Management: Input and maintain HR-related data in the system, ensuring that information is up-to-date and readily accessible.

Employee Relations: Support the Head of Operations, People and Culture by addressing staff queries related to contracts, benefits, and policies.

HR Reporting: Assist in preparing HR reports such as headcount, leave balances, contract renewals, and any other HR metrics required by the leadership.

Performance Management: Assist in the administration of performance appraisal cycles by coordinating evaluation deadlines, ensuring timely feedback, and documenting results.

Training and Development: Coordinate training sessions, workshops, and other learning initiatives, including preparing materials, booking venues, and tracking participation.

Exit Procedures: Facilitate employee exit processes by collecting necessary documentation, conducting exit interviews, and coordinating final settlements.

Knowledge and Experience

Bachelor’s degree in Human Resources, Business Administration, or a related field.
An equivalent combination of education and experience may be considered.

Minimum of 2-3 years of experience in HR administration or a similar role, preferably within an NGO or non-profit organization.

HR Knowledge: Understanding of HR best practices, particularly in areas of recruitment, onboarding, contracts, and employee documentation.

Attention to Detail: Strong organizational skills with a high level of accuracy in handling employee records and contracts.

Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with staff, candidates, and other stakeholders.

Time Management: Strong ability to prioritize tasks, handle multiple assignments, and meet deadlines in a fast-paced environment.

Confidentiality: Demonstrated ability to maintain discretion and handle sensitive employee information with integrity.

Problem-Solving: Ability to identify and resolve HR-related issues effectively.

Tech-savvy: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with HR information systems or databases.

Team Player: Cooperative and supportive attitude, with a willingness to contribute to the overall success of the HR department.

Strong understanding of local labor laws and NGO regulations.

Commitment to the values and mission of the organization, with a passion for contributing to social impact.

Flexibility to adapt to changing HR needs or special projects as required.
