Procurement Officer

Duties & responsibilities: 

Procurement: 

  • Support the implementation of procurement processes in line with Nusaned policies and donor compliance requirements.  
  • Assist in preparing and following up on Purchase Requests (PRs) and Purchase Orders (POs) in coordination with requesting departments.  
  • Support supplier sourcing activities and maintain an updated and reliable supplier database.  
  • Assist in the collection of quotations/bids, preparation of bid analysis and comparison sheets, ensuring transparency and fairness.  
  • Follow up with suppliers to ensure timely delivery of goods and services in line with agreed terms.  
  • Ensure proper documentation, filing, and archiving of all procurement records (PRs, POs, quotations, contracts, invoices, etc.).  
  • Track procurement timelines and proactively follow up to ensure completion within deadlines.  

Logistics Support 

  • Support asset management processes, including tracking, documentation, and staff asset custody forms.  
  • Assist in fleet management, including vehicle tracking, maintenance follow-up, and coordination with relevant teams.  
  • Monitor shipments and coordinate deliveries according to project requirements.  
  • Conduct field visits, when required, to support procurement and logistics implementation.  

Reporting & Coordination 

  • Maintain accurate procurement and logistics records and provide regular updates to the Procurement Manager and Finance team.  
  • Utilize ERP systems for procurement tracking, data entry, and reporting.  
  • Coordinate effectively with Project Managers, Field Officers, Finance, and People & Culture teams to ensure smooth operations. 
  • Collaborate with internal teams to support smooth operational workflows. 

Perform any additional tasks as requested by the Procurement Manager & Head of Operations. 

Report to: Procurement Manager  

Supervisory Responsibility: — 

Collaborates and Works with: Project Managers, Field officers, Finance, Accountant, People & Culture.  

Qualifications & Experience 

  • Bachelor's degree in business administration, Logistics, Supply Chain Management, or a related field.  
  • Previous experience in procurement and/or logistics; experience in the humanitarian/NGO sector is an asset.  

Core Competencies 

  • Strong organizational and documentation skills with high attention to detail.  
  • Proficiency in Microsoft Excel and experience working with shared platforms (e.g., OneDrive, ERP systems).  
  • Good understanding of procurement processes, supplier management, and basic logistics operations.  
  • Problem-solving mindset with the ability to manage multiple tasks and meet deadlines.  
  • Strong communication and interpersonal skills, with the ability to coordinate across teams and with external vendors.  
  • Ability to work independently and within a team, demonstrating flexibility and adaptability.  
  • Knowledge of safety standards and operational procedures is an asset.  
  • Strong work ethic with a positive, proactive attitude, especially under pressure.  
  • Fluency in Arabic and good command of English (written and spoken).
