Logistics Assistant

Key responsibilities: GENERAL LOGISITICS: • To implement and monitor logistics systems, in accordance with Oxfam GB policies and procedures. • To establish and maintain good contacts with suppliers, government offices, UN agencies and other NGOs with regards to logistical matters. • To report on all logistics activities to the Logistics Manager. • To assist the Logistics Manager in the drawing up of new project proposals. • Support and Capacity Build on Logistics to Partner Agencies PROCUREMENT AND STORAGE: • To assist in procurement of items based on authorised requisitions (as requested by Logistician), in line with Oxfam GB procedures. • To keep records of and maintain contacts with suppliers and local repair/maintenance shops, and to conduct price comparisons among them, in order to get the best deals. • To arrange local purchases, according to procedures on receipt of supplies requests through to final purchase and distribution, and liaison with the stores on supplies to be made from the store. TRANSPORT AND COMMUNICATION: • When necessary assist Logistics Officer to regulate the use of vehicles and communications equipment. • When necessary assist Logistics Officer on supervision and plan vehicle allocation in order to optimally serve the needs of the programme. • When necessary assist the Logistics Officer on Monitoring the fuel consumption of Oxfam vehicles and the skills of the drivers. • To follow Oxfam GB regulations when driving an Oxfam vehicle. ADMINISTRATION: • To ensure that the proper administrative procedures and standards for order follow-up, ordering, stock keeping and dispatch are followed. • To keep a proper record of expenditures, receipts, requisitions, purchase order forms, waybills, and all other documents. • Preparing the Weekly Sit reps. Key Competencies • Diplomacy, tact and negotiating skills. • Team-working skills. • Flexibility under pressure and in response to changing needs. • Attention to detail and excellent numeric accuracy. • Good experience in: purchasing, warehousing, vehicle management, administration. • Practical experience with Microsoft Word and Excel programs. • Good written and spoken English and Arabic and other languages as required. • Ability to keep clear and concise records. • Valid clean driving licence and sound driving skills.
