Job Description:

 

1- GENERAL OBJECTIVE

 

We are looking for a reliable and detail-oriented Finance Intern to assist the Finance Department with scanning and archiving the finance files and dealing with day-to-day operations. This role involves digitizing a high volume of payment documents from the past year and organizing them according to PUIs internal scanning and archiving guidelines while providing the intern with exposure to INGO financial procedures and donor compliance rules.

 

2- RESPONSIBILITIES AND TASKS

 

Focus on archiving and scanning plus assisting the Finance Team with the daily tasks:

    1. Organize the financial documents as per the given instructions (invoices, receipts, contracts, payment vouchers...).
    2. Scan financial documents (primarily payment records) and save them on the specific link.
    3. Ensure scanned files are labeled and saved accurately according to the established guidelines.
    4. Ensure documents are complete, readable, and properly indexed for easy retrieval during audits and reviews.
    5. Perform quality control to verify the eligibility and completeness of scanned documents.
    6. Maintain confidentiality and data security throughout the scanning process.
    7. Assist in collecting and checking financial supporting documents for completeness and compliance.
    8. Support daily recording of transactions in Excel or accounting systems under supervision.
    9. Assist in preparing payment files (cash and bank).
    10. Support in related administrative and finance day-to day tasks if needed.

 

The tasks and responsibilities defined in this job description are non-exhaustive and can evolve depending on the project’s needs. Employee is also required to fulfil other job-related tasks delegated to him/her by their line management.

 

3. PRIORITIES OF THE DEPARTMENT

 

  1. Archiving and scanning
  2. Sorting out the file to adhere to PUI standards and donor guidelines
  3. Assist in achieving day-to-day financial transactions and payments follow up

 

4- MANDATORY REQUIREMENTS

  1. Language skills: Fluent in Arabic and good command of English (speaking, reading, writing);
  2. Education degree: recent graduate in Accounting, Finance, Business Administration, Economics, or a related field;
  3. Work experience: 1 year, (preferably with NGOs);
  4. Knowledge and skills:

•              Basic knowledge of accounting principles

•              Strong attention to detail and a high level of accuracy

•              Basic computer skills, particularly with scanners, PDF software, and file management

•              Ability to follow structured guidelines and naming conventions

•              Reliable, organized, and able to manage repetitive tasks efficiently

•              Previous experience in administrative or document handling work is a plus

•              Understanding of confidentiality in handling financial documents

•              Willingness to learn and work in a multicultural team

  1. Computer skills: good command of Word and Excel, usage of printers and scanners and USB devices;
  2. Others:

  3. Location: to be living in Tripoli or its surroundings (being able to reach Tripoli base easily every day)

PUI-AMI Employment Conditions and Benefits:

Status: A Fixed-Term Internship Agreement

32-hours work week from Monday to Friday.

Duration of the contract: 2 months

 

Location: Tripoli North Base

Monthly remuneration:  600 USD based on PU-AMIs internal salary scale
