General objective
The Head of Base Assistant supports the Head of Base for the proper functioning of the site, the organisation of the Security of the teams and programs and the qualitative implementation of programs developped within the area of intervent.
Responsibilities & tasks
Security and Safety
- Ensure data collection, crosschecking and in-depth analysis of information related to the security and safety within the area of intervention; provide regular and ad hoc (if needed) formal reports to the HoB,
- Set up a network of Security Focal points in the Northern Governorate, with a specific focus on risky areas, to ensure the rapid collection of information for the protection of the teams on the field,
- Support the HoB for the organisation and facilitation of Security workshops with key members of the teams, takes notes and provide qualitative minutes / reports,
- Actively participate in the daily or ad hoc security meetings, take notes and provide qualitative minutes / reports when needed,
- Participate in the elaboration and constant update of the Base Security Plan and the related set of security forms and documentation, such as, but not limited to: stakeholder analysis, hibernation plan, mapping, evacuation plan, constant companion, communication tree…
- Participate in the general Security briefing of the staff on site,
- Immediately alert the HoB in case of impending danger,
- When needed, attend and actively participate in the security meetings with partners and donors, takes notes and provide qualitative minutes / reports when needed,
Representation and external coordination
- Participate in the organization and implementation of monitoring visit from donors,
- Under the Supervision of the HoB, participate in the overall representation of the organization for local actors and field level donors,
- Collect, organize and dispatch all referral cases provided by partners to the relevant teams on site. Follow the cases, collect feedbacks and share updates with the partners, under the supervision of the Head of Base.
- When needed, participate in the main coordination meetings with partners and donors, takes notes and provide qualitative minutes / reports,
- Prepare the regular data sharing material for all partners in the area of intervention, under the supervision of the Head of Base,
- Support the HoB for the networking with other stakeholders,
- Display behavior consistent with the values upheld by the organization, and with full respect for the local culture.
Program implementation and strategy making process
- Support the HoB in ensuring the smooth running of ongoing programs on the site, and keep a constant and updated expertise on all PU-AMI programs in the area of intervention (with field visits and study of base level reports), for the purpose of his representation duties,
- Participate in the weekly base meeting, and prepare the Sitrep report for the HoB,
- Participate in the filling, reviewing and improvment of documents produced in the context of the projects,
- Contribute to the development strategy excercice of the base, actively participating in related meetings and preparing meeting minutes,
- Contribute to the development strategy excercice of the base, participating in the proposal writing process and/or reviewing written production from the different departments (style and content),
Support for the supervision of the teams at the site
- Support the HoB for the supervision of all teams on the site,
- Attend regular and ad-hoc internal meetings, takes notes and provide qualitative meetings minutes / reports when needed,
- Ensure correct orientation for new employees.
Confidentiality
- Ensure confidentiality for all information dealt with in the course of the project, especially regarding information on beneficiairies that must not be shared outside PU-AMI.
