Logistics Assistant

Role and Responsibilities

  • Warehouse management
  • Stand as the focal point for all matters related to the warehouse at base level
  • Manage and organize the reception, storage and shipping of all supplies at the warehouse
  • Prepare all shipment as per requests received, and ensure timely delivery
  • Maintain updated storage management tools  (stock report, stock cards) at all times, entering the required data and ensuring compliance with actual stock quantities
  • Properly fill and archive all documentation related to stock management and movements (Goods Received Notes, Delivery Notes, Stock Transfer Sheet, Waybills)
  • Monitor the quality  and compliance of all items at the time of reception, in coordination with the Logistics Manager and the technical teams       
  • Regularly monitor the quality of products during storage. Pay special attention to expiration dates when applicable and communicate any foreseen issue / upcoming expiry
  • Manage daily workers in the warehouse, ensuring they are using required safety equipment, and coordinates their wages payment
  • Coordinate with transporters for deliveries and transport, with support from the Logistics Manager
  • Perform the monthly stock inventory under supervision of the Logistics Manager, and reports any discrepancy or anomaly
  • Coordinate with support and program teams at base level to organize and plan upcoming deliveries and shipments, and anticipate needs and potential challenges
  • Support the Logistics Manager in the yearly cleaning of the warehouse, give recommendations on possible liquidation of items remaining in storage and not rotating
  • Ensure the equipment and machines used by teams are cleaned before returning to the store

 

  • Premises Management
  • Regularly monitor the office and warehouse premises, identify needs for repair and maintenance and coordinates with Logistics Officer for their implementation
  • Supervise the regular cleaning and pest control of the warehouse premises, and ensure proper storage conditions of all items
  • Monitor the temperature and humidity of the medical store and report any anomaly immediately
  • Support the Logistics Manager in the follow up of contracts, and payment of rents and charges (internet, electricty, water, generator…) for all PU-AMI premises (office, warehouse, guesthouse)
  • Manage the stock of office consumables and cleaning products and coordinates with the Logistics Officer for purchasing  additional items when necessary
  • Support the Logistics Manager in the daily supervision of the Houseekper
  • Support the Logistics Manager in the identification of new premises as necessary

 

  • Assets and Equipment Management
  • Dispatch the equipment and assets at base level as per the requests and needs, ensuring proper follow-up of all movements
  • Maintain updated asset management tools (asset list, asset cards, staff asset forms) at base level and report any issue or discrepancy
  • Ensure all assets and equipment are properly identified (log codes)
  • Support the Logistics Manager in drawing up the list of asset needs
  • Manage the safe storage of assets within the Logistics department, and perform monthly asset inventory under supervision of the Logistics Officer
  • Monitor assests maintenance needs, and coordinates with the Logistics Officer to identify service suppliers as necessary

 

  • Archiving / Reporting
    • Responsible for the proper filling and archiving of all documentation related to the storage and assets, as per PU-AMI procedures
    • In charge of preparing the Stock report and Asset list for the monthly Logistics report

 

  • Security and general
    • To share security information with the logistics Officer and security manager in Saida
    • To understand and obey traffic law and regulations
    • Support the Logistics Manager in any logistics activities at base level, as per needs of the department

 

The tasks and responsibilities of the Logistics Assistant mentioned above are not exhaustive and may be subject to change depending on the needs of PU-AMI may have.

 

Mandatory requirements
  • Language skills: Fluent in Arabic and basic English (speaking/reading/writing)
  • Education degree: School degree required
  • Work experience: 2 years minimum of previous relevant experience in a logistics function (specifically  warehouse management) and preferably in an NGO

 

  • Knowledge and skills:
  • Valid driving license at least 2 years
  • Knowledge of humanitarian actors (Preferrable)
  • Computer skills: Basic Knowledge in Computer use (excel)
