General objective
The Office Clerk is responsible for receiving the calls of the hotline and the office line and for welcoming all the people at PU-AMI premise. He / She is also responsible for the correct and timely computerization of all data collected at field level by the project staff.
Responsabilities and tasks
Receptionist
To answer the hotline calls and the office main line calls.
To analyze each case to provide the callers with the relevant information or refer them to the staff in charge when needed.
To communicate the case to the relevant person in charge in a synthetic and coherent way.
To fill the Internal Referral Logbook with accurate data when needed.
To welcome all guests visiting the office with a professional attitude.
To know and update the internal and external contact lists
Data Entry
To translate data from Arabic to English and from English to Arabic (if needed)
To ensure timely and correct data entry of the Phone/Visits logbook in the database
To support data entry activities when requested
To scan documents when needed and deliver it to the corresponding employee
To support the Information Manager with the data analysis of the Phone/Visits logbook

University degree or Technical diploma in a Social Sciences field. Experience in NGOs / Private Sector. Acquaintance with INGO' rules, procedures and regulations. Work in relief, interest for refugees issues. Honest and trustworthy, reliable, rigorous and well organized. Able to manage priorities, take initiatives and work without constant supervision.
